Job Description POSITION: HR Certification Specialist
EXEMPT STATUS: Non-Exempt
NUMBER OF DAYS: According to district approved calendar
DEPARTMENT: Human Capital Management
REPORTS TO: Director of Human Resources
SUPERVISES: None
EDUCATION:
- High School Diploma or GED
EXPERIENCE:
- Minimum of three to five years of secretarial/clerical experience.
- Minimum of three years of school district Human Resource Services experience, preferred.
Position Function/Purpose
Provide assistance to employees in the certification process when needed and ensure that the district is in compliance with SBEC and NCLB regulations.
Essential Functions
Process and handle necessary online functions using the online applicant tracking system.Audit and maintain certification licensing information of certified or licensed professionals.Process and handle any necessary paperwork for employee separations, transfers, changes, or recommendations.Reconcile HR processes with position management.Maintain confidential documents and forms.Process and manage personnel records for contract new hires, central office staff, and professional support staff including, but not limited to, personnel files, new hire paperwork, new hire contracts, resignations, employee service records, and maintain/update accurate information on the database/mainframe as appropriate.Submit necessary information to all departments to set up technology account, email, and employee badge.Verify that new employees hold the necessary certification to fill the vacant position.Assist current employees and/or administrators with SBEC certification and issues.Verify employment history and years of service records.Assist current employees, applicants, and clients/applicants with certification Q&A regarding SBEC certification and HQ requirements.Process criminal history reports/schedule meetings and fingerprinting as needed.Enter the required information into the District database.Maintain close communication with the Technology Information Management department regarding database updates.Correspond with employees, new hires, TEA, colleges and universities, and school districts (private and public) throughout the U.S. and foreign countries.Update contract status of all contract employees and print contracts at renewal time annually.Serve as a resource person to administrators and employees on certification issues.Notary public duties as required.Keep the Director informed of certification and HQ problems and progress.Perform duties as lead HR processing manager.Assist in training of new personnel as needed.Maintain the employee work calendars and update annually and/or as needed.Assist with management of the online application.Assist applicants via telephone and email.Verifies and assists Director in correspondence for TWC unemployment complaints.Manage the Highly Qualified process for teachers including, determining Highly Qualified status and reporting.Stay current and up to date on state mandates and changes to state certification requirements.Send out Employee Appraisals.Update job descriptionsAssist other office personnel with clerical/data entry assignments as needed.Assist with the substitutes services personnel as needed.Assist with Awards Program as needed.Perform other duties as assigned.Qualification Requirements
