The Operations Coordinator supports day‑to‑day operational execution by aligning staffing, payroll, training compliance, logistics, and administrative workflows with organizational standards and leadership directives. Reporting directly to the Operations Manager, this role reinforces a culture of accuracy, accountability, and operational excellence.

Essential Duties And Responsibilities Workforce & Payroll Coordination
  • Verify daily crew rosters across all active locations to ensure accurate timekeeping and payroll compliance.
  • Partner with Operations Managers to conduct pay period reviews and ensure payroll authorization aligns with established protocols.
Staffing & Resource Optimization
  • Lead weekly workforce planning activities, including roster development, PTO coverage, and staffing adjustments.
  • Collaborate with Field Supervisors to resolve unplanned staffing gaps and maintain uninterrupted operations.
New Hire Deployment
  • Coordinate post‑orientation placement and assignment of new hires, including work location, supervisory contacts, and start logistics.
  • Ensure all deployment communications align with Operations Manager direction and operational needs.
Training & Compliance Oversight
  • Partner with Safety and Compliance teams to track and maintain mandatory training requirements such as PEC, H2S, Fit Testing, and customer‑specific certifications.
  • Monitor training expirations and proactively address compliance gaps to avoid operational disruptions.
Operational Logistics & Asset Support
  • Serve as a point of contact for light‑duty vehicle coordination, maintenance requests, and asset tracking.
  • Coordinate with maintenance and parts teams to ensure timely delivery of equipment and materials to field locations.
Operational Governance & Reporting
  • Assist Operations leadership with review of Samsara violations and documentation.
  • Prepare disciplinary, corrective action, and payroll‑related documentation in UKG with Operations Manager approval.
  • Compile operational data and contribute to weekly KPI and performance reporting.
Cross‑Functional Communication
  • Communicate effectively with Operations Managers, Field Supervisors, HR, Safety, and other departments regarding staffing changes, compliance status, and operational priorities.
  • Other duties as assigned.
