Job Responsibilities
- Collects and posts rent, fees, and other payments; prepares daily bank deposits and monthly close‑out reports; processes invoices and payables.
- Operates property management software, completing transactions, updates, and backups to maintain system integrity.
- Reviews resident files and accounting records to identify unpaid/late fees, communicates with residents, implements delinquency collection procedures, and enforces leases to maximize revenue.
- Reviews and submits invoices from vendors, contractors, and service providers for payment; reconciles work performed or products purchased, obtains community manager approval, codes charges to appropriate Chart of Account codes, and manages communication between vendor/contractor, accounting, and client/owner.
- Follows company procedures related to evictions: properly issues notices, executes evictions, and represents the community in court hearings and proceedings.
- Processes resident move‑outs by reviewing lease terms and notice requirements, applying deposit and lease cancellation fees when applicable, and completing disposition in accordance with established procedures and legal requirements.
- Promotes resident satisfaction and retention by responding promptly to complaints, questions, and requests, and taking appropriate action to resolve service issues.
- Acts as on‑site supervisor in the absence of the community manager: organizes and delegates daily work, coordinates maintenance and make‑ready tasks with the maintenance supervisor, and manages community operation in compliance with company policies, procedures, and business practices.
- Supports leasing activities: assists with leasing, shows apartments to prospects, completes follow‑up and application processing, and prepares lease and move‑in documents.
- Promotes a positive image of the apartment community and management company.
- High School or equivalent.
- Strong math skills.
- Bilingual preferred.
- Driver’s license.
