Qualifications

Education:

  • Bachelor’s degree from an accredited college or university

Experience:

  • Minimum of five years of management and professional experience preferred
  • Demonstrated experience supervising finance or accounting teams and managing large-scale budgets preferred
  • Experience with inventory management systems (2 years preferred)
  • Previous supervisory experience in a logistics, warehouse, or educational setting preferred.

Special Knowledge/

Skills:

  • Expertise in Instructional Materials and Technology Allotment (IMTA) and state/district regulations (preferred)
  • Proficiency in Google Suite, inventory databases, and ERP systems
Position Function/Purpose

The Coordinator of Resource Management is a leadership role within Financial Services responsible for the strategic and operational oversight of the district’s instructional materials and warehouse logistics. This position coordinates the entire lifecycle of library and instructional materials—from acquisition and state compliance to disbursement—while directly leading the warehouse team to ensure efficient district-wide distribution and inventory control.

Major Responsibilities and Duties Instructional Materials & IMA Management
  • Serve as the lead for the Instructional Materials and Technology Allotment (IMTA) and manage all requisitions, allotments, and disbursements to ensure the district follows state and district guidelines.
  • Implement, maintain and manage a district-wide inventory management system for instructional materials, ensuring appropriate quantities are available at every campus and throughout the district.
  • Lead the annual certification process to ensure all students have access to instructional materials covering 100% of the Texas Essential Knowledge and Skills (TEKS).
  • Strategically manage the IMTA biennium budget to maximize funding for both traditional and Open Education Resources (OER).
  • Establish a rigorous auditing cycle, conducting annual physical inventories at all campuses to ensure zero-loss accountability for state-funded resources.
  • Participate in resource selection committees and serve as a resource person for adoption committees.
  • Provide technical support for online instructional programs and maintain Teaching and Learning Department websites.
  • Work closely with the Teaching and Learning Department to order the requested materials and ensure compliance with allowable cost.
  • Recommend replacement and disposal of assets when necessary
  • Work with district accounting, purchasing, and distribution services to ensure the timely receipt, identification, and recording of newly acquired instructional materials.
  • Use records management and administration procedures to ensure inventory records are maintained, preserved, and disposed of in accordance with the requirements of state and district regulations, policies, and guidelines.
  • Compile, maintain, and share all reports, records, and other documents, as required.
  • Facilitate the use of district resources and facilities for professional learning, as requested.
  • Partner with the Teaching and Learning Department to ensure warehouse inventory aligns with current evidence-based instructional practices.
  • Develop and train a network of Campus Instructional Materials Coordinators to streamline inventory reporting and resource requests.
  • Maintain processes that allow for parental review of instructional materials in accordance with state law and board policy.
Warehouse Leadership & Logistics
  • Direct the Warehouse Supervisor in managing daily receipt, storage, and distribution of office supplies, janitorial inventory, and instructional materials.
  • Implement warehouse principles to reduce turnaround time for campus deliveries and optimize storage space.
  • Oversee the receipt, storage, and distribution of office supplies, janitorial inventory, and surplus equipment.
  • Oversee the safety program for the warehouse team, ensuring all equipment (forklifts, pallet jacks) is maintained and staff are OSHA-compliant and certified.
  • Work collaboratively with vendors to secure quotes, track shipments, and negotiate with vendors for high-volume purchases to ensure cost-effectiveness and timely delivery of district supplies.
Professional Learning & Communication
  • Create and deliver professional development for campus administrators and teachers regarding resource utilization and inventory compliance.
