Job Description
The Mail Services & Logistics Coordinator is responsible for the receipt, processing, distribution, and shipment of mail, parcels, and materials within assigned facilities. This role ensures the accurate and timely delivery of correspondence, packages, and shipments while maintaining compliance with applicable regulations, procedures, and safety standards.
In addition to mail and package handling, the position supports facility logistics activities, including material movement, inventory organization, relocation assistance, and property transfers. The ideal candidate has experience in shipping, delivery, logistics, warehousing, moving services, or related transportation operations and is comfortable performing physically demanding work in a fast-paced environment.
This position requires extensive walking, lifting, carrying, and movement throughout the workday.
Responsibilities
- Receive, sort, process, and distribute incoming mail, interoffice correspondence, and parcels.
- Prepare and process outgoing domestic and international mail, packages, and courier shipments.
- Ensure timely and accurate delivery of mail and materials to designated recipients and locations.
- Maintain accurate mail routing information, delivery records, and distribution lists.
- Verify shipping documentation, package labeling, and tracking information.
- Coordinate package pickups, deliveries, and shipments with internal and external service providers.
- Maintain compliance with applicable shipping, mailing, transportation, and safety regulations.
- Support facility logistics activities including moving, transporting, and organizing materials and equipment.
- Assist with relocation, storage, and transfer of office, residential, or operational property as required.
- Assist with clearing and preparing vacated housing units, apartments, offices, or work spaces for turnover and occupancy.
- Maintain accurate records of deliveries, shipments, inventory, and material movements.
- Investigate and resolve delivery discrepancies, lost packages, and shipment tracking issues.
- Maintain a clean, organized, and efficient work area.
- Identify opportunities to improve mail handling, delivery, and logistics processes.
- Provide guidance and support to team members regarding mail and logistics procedures.
- Follow all safety requirements and safe lifting practices while performing daily duties.
Required Qualifications
- High school diploma, GED, or equivalent.
- Minimum of 2 years of experience in shipping, delivery, logistics, warehousing, moving services, transportation, mail services, or a related field.
- Experience with package handling, material movement, and delivery operations.
- Knowledge of shipping and receiving processes and basic logistics practices.
- Strong organizational skills and attention to detail.
- Ability to maintain accurate records and documentation.
- Strong customer service and communication skills.
- Ability to work independently and prioritize multiple tasks.
- Basic computer skills, including data entry and tracking systems.
- Ability to safely lift, carry, push, and pull items weighing up to 50 pounds.
- Ability to stand, walk, bend, and move throughout facilities for extended periods.
- Valid driver's license with an acceptable driving record preferred.
- Experience with parcel delivery organizations, courier services, freight operations, or warehouse logistics.
- Experience working for shipping, delivery, transportation, or moving companies.
- Experience with inventory management, shipping software, or package tracking systems.
- Experience supporting facility relocations, residential move-outs, or property turnover activities.
- Knowledge of domestic and international shipping requirements.
- Experience training or mentoring team members.
- Forklift, material handling, or logistics certifications are a plus.
