Under general supervision, performs administrative and operational support functions related to the management and daily operation of the airport. Assists in ensuring compliance with legal requirements, regulations, and policies governing the use of airport facilities. Manages tenant relations, financial processes, procurement, and emergency coordination while providing excellent customer service. Performs other related duties as assigned.
DISTINGUSIHING CHARACTERISTICSThis is a single-incumbent classification responsible for a broad range of administrative and operational support duties. The employee receives general supervision from the Airport Manager and does not supervise other employees but provides guidance and coordination for maintenance personnel and contracted service providers.

- Coordinate procurement of supplies, equipment, and services necessary for airport operations, including obtaining quotes, processing purchase orders, and tracking expenditures.
- Maintain and update financial databases, lease agreements, and operational reports while managing financial records, including budgeting, tracking expenditures, and reconciling accounts, ensuring compliance with city policies.
- Assist in the preparation of the Joint Airport Board meeting agenda by collaborating with the Airport Manager to track and compile agenda items, drafting and formatting the agenda for review, proofreading for accuracy and compliance, and coordinating the timely posting of the final agenda in accordance with applicable regulations.
- Process tenant invoices for leases, utilities, and other charges; ensure timely payments and maintain accurate records.
- Assist in grant management, including RAMP grant tracking, reimbursement submissions, and compliance with funding requirements.
- Ensure compliance with federal, state, and local regulations, including but not limited to FAA, TxDOT, and TSA policies and submit associated reports.
- Issue and manage NOTAMs (Notices to Air Men) through the FAA.
- Assist in tracking and maintaining the FAA based aircraft count.
- Conduct periodic lease compliance reviews and maintain records of tenant adherence to airport policies, insurance compliance, lease agreements, and minimum operating standards.
- Serve as a primary point of contact for tenants, pilots, vendors, and the public, responding to inquiries and resolving complaints professionally.
- Manage the hangar waiting list, schedule facility showings, and finalize lease agreements with new tenants.
- Plan and organize public relations tours, airport special events, and community engagement initiatives.
- Manage the airport’s online presence, including social media updates, community notifications, and customer service inquiries.
- Provide guidance to maintenance personnel regarding work assignments, procurement of necessary materials, and contractor oversight for facility repairs and improvements.
- Coordinate facility use applications and special event logistics.
- Identify and schedule necessary repairs or maintenance with outside vendors to ensure safe and efficient airport operations.
- Assist in emergency situations by coordinating emergency response procedures, communicating with stakeholders, and documenting incidents to ensure compliance with airport safety and security protocols.
- Take concise and accurate meeting minutes for board meetings and other official gatherings.
- Support operational decision-making in the absence of the Airport Manager.
