PA to Operations executive X1

Mission

Principal Accountabilities

To provide an administrative service to the Operations Division.

Specific Responsibilities

  • Provide full secretarial and administrative support to the Operations Division to ensure smooth running of the units.
  • Perform data-entry, recording, Drafting of Letters, Procedures printing and filling duties
  • To liaise with all departments and ensure relevant information is communicated to necessary parties once approved by the Management team and on instruction from the Operations Executive
  • Follow up on all letters to be responded in relation to DOCCONTROL, directly with managers and to present to the Operations Executive when finalized.
  • Maintain proper and user-friendly filing and document control system for recording and tracking of all documents for the team
  • Perform regular audits to ensure compliance to the document control process.
  • Partake in the Risk Assessment process and update related documentation
  • Create and maintain useful database for the team
  • Undertake any ad-hoc admin projects/duties as required
  • Co-ordinate travel arrangements inclusive of air-ticket, hotel accommodation, visa arrangement, claims etc.
  • Checking and verify staff claims, staff invoices, Sub-contractor’s invoices and PRs
  • Managing the Service Delivery manager on-call roster monthly
  • Assisting with Service Delivery Budget
  • Consolidating divisional reports
