Job Description Key Responsibilities
- Serve as a first point of contact for clients, employees, and visitors via phone, email, and in person
- Provide professional, timely, and courteous support to client and employee inquiries
- Build and maintain positive relationships by delivering a high level of service and responsiveness
- Assist clients and employees with general questions related to onboarding, payroll processes, and documentation
- Coordinate and manage new hire onboarding processes, ensuring timely completion of all required documentation
- Assist employees with completion of I-9, W-4, and other federal, state, and company-specific forms
- Verify documentation for accuracy and completeness in compliance with federal and state regulations
- Enter and maintain new hire data within payroll and HR systems
- Track onboarding status and follow up as needed to ensure deadlines are met
- Manage front desk operations, including greeting visitors and directing inquiries appropriately
- Maintain organized electronic and physical records with strict attention to confidentiality
- Assist with general administrative tasks such as document preparation, scanning, filing, and data entry
- Support internal teams with onboarding-related coordination and communication
- Identify opportunities to improve onboarding workflows and client experience
- Collaborate with internal departments to ensure seamless service delivery
- Maintain up-to-date knowledge of onboarding requirements, policies, and procedures
- High school diploma or equivalent
- Strong customer service and interpersonal skills
- Excellent attention to detail and organizational skills
- Ability to handle sensitive and confidential information with discretion
- Proficiency in basic office software (email, word processing, spreadsheets)
