Position: Client Experience & Onboarding Specialist

1 Source Business Solutions, a leading provider of outsourced HR services, is a fast‑growing PEO (HR) company seeking an experienced Receptionist/Administrative Assistant who has exceptional customer service skills. We are looking for a detail‑oriented individual who thrives on assisting our clients with their payroll and administrative needs. This individual must be a leader, capable of setting the stage and giving direction, while also being a team player who works well with others.

Job Description

Key Responsibilities Client & Employee Experience
  • Serve as a first point of contact for clients, employees, and visitors via phone, email, and in person
  • Provide professional, timely, and courteous support to client and employee inquiries
  • Build and maintain positive relationships by delivering a high level of service and responsiveness
  • Assist clients and employees with general questions related to onboarding, payroll processes, and documentation
New Hire Onboarding & Compliance
  • Coordinate and manage new hire onboarding processes, ensuring timely completion of all required documentation
  • Assist employees with completion of I-9, W-4, and other federal, state, and company‑specific forms
  • Verify documentation for accuracy and completeness in compliance with federal and state regulations
  • Enter and maintain new hire data within payroll and HR systems
  • Track onboarding status and follow up as needed to ensure deadlines are met
Administrative & Front Office Support
  • Manage front desk operations, including greeting visitors and directing inquiries appropriately
  • Maintain organized electronic and physical records with strict attention to confidentiality
  • Assist with general administrative tasks such as document preparation, scanning, filing, and data entry
  • Support internal teams with onboarding‑related coordination and communication
Process Improvement & Collaboration
  • Identify opportunities to improve onboarding workflows and client experience
  • Collaborate with internal departments to ensure seamless service delivery
  • Maintain up‑to‑date knowledge of onboarding requirements, policies, and procedures
Qualifications
  • High school diploma or equivalent
  • Strong customer service and interpersonal skills
  • Excellent attention to detail and organizational skills
  • Ability to handle sensitive and confidential information with discretion
  • Proficiency in basic office software (email, word processing, spreadsheets)
  • Strong written and verbal communication skills
