Why This Role Matters

When clients call or walk through our doors, they’re often making big life decisions. Your warmth, attention to detail, and ability to solve problems before they arise will make them feel truly cared for. You’ll be the “air-traffic controller” for two busy calendars, keeping our Tomi Plan and wealth-advisory teams running smoothly and in sync.

Responsibilities What You’ll Own
  • Reception & Relationship Building: Greet every caller and guest like a VIP (because they are).
  • Calendar Command: Masterfully schedule meetings across multiple teams, double-checking every detail.
  • Communication Hub: Draft clear, upbeat emails, answer FAQs, and route complex questions to the right expert.
  • Office Flow: Open and close the office, keep supplies stocked, and organize files, so nothing gets lost.
  • Project Support: Jump into data entry, event prep, or vendor coordination as needed.
What Success Looks Like
  • Clients rave about their “seamless” experience with you in post-meeting surveys.
  • Advisors never have to ask, “Whose turn is this meeting?” because you’ve already handled it.
  • The front lobby, phone queue, and inbox stay calm, even on the busiest days.
  • You become the go-to problem solver everyone trusts.
Qualifications Must‑Haves (Please Self‑Check)
  • You love people and remember details, first names, favorite drinks, kids’ soccer finals.
  • Poise: polished phone voice, professional dress, confident grammar.
  • Reliability: colleagues can set their watches by you.
  • Tech fluency:
    Google Calendar wizardry, Zoom Proficiency, quick with CRMs and basic spreadsheets.
  • Multitasking superpower: juggle calls, guests, and an inbox without dropping a ball.
  • Desire to plant roots: we invest heavily in training and hope you’ll grow with us for years to come.
Nice‑to‑Haves
  • Prior front‑desk or executive‑assistant experience.
  • Familiarity with financial, legal, or professional‑services settings.
