Most brokerages hire a Transaction Coordinator to keep files from falling apart.
We're hiring one to help build the system that makes falling apart impossible.
That's the difference. And if you've done this job anywhere else, you already know which one you'd rather be part of.
The Role:You’ll own our agents' transactions from the moment a listing goes live to the moment we hand over keys — contracts, disclosures, deadlines, compliance, the whole arc. You're the calm the agent doesn't have to think about, the person title and escrow know they can trust, and the reason nothing slips.
But this isn't a "keep your head down and process files" seat. We're mid-buildout on a serious systems and automation overhaul, and we want a TC who's curious about why the process works the way it does — not just someone who follows the checklist, but someone who'd tell us if the checklist is wrong.
What you’ll own:- Full transaction lifecycle management — listing to close, start to finish, no hand-holding required
- Contract, disclosure, and addenda review for accuracy and compliance
- The communication hub between agents, clients, title, and escrow
- Deadline and contingency tracking — you see the finish line before anyone else does
- Proactive problem-solving when a deal gets messy (it will — that's real estate)
- Clean, organized records across our transaction systems
- Spotting the workflow that's wasting everyone's time and saying something about it
- REQUIRED: 2+ years of Utah residential transaction coordination experience; this is a role with growth potential for someone who is already comfortable with what it takes (due to the demanding and minimal oversight nature of this role, only those with specific large-scale transaction coordination experience will be considered at this time).
- Real fluency in Utah contracts and compliance
- The ability to run multiple files with minimal supervision; we trust you with the keys, literally and figuratively
- A calm, solutions-first brain under pressure
- High accountability without needing to be micromanaged into it
- Comfort across Sky Slope, Google Suite, and Notion (or other similar system with competency and excitement to learn and help build it) — and the instinct to get better with tools, not resistant to them
- Communication range — you talk to a first-time buyer and a seasoned luxury agent with the same clarity, just different tone
- An actual desire to grow inside real estate operations, not just clock hours in a seat
The Agency Salt Lake City isn't the affiliate playing catch-up to the big legacy brands — we're the one growing faster than the market, at a multiple most brokerages would kill for. We built our name on collaboration over competition, on removing ego from a business that's historically been full of it, and on treating agents and clients like people building something meaningful , not line items in a pipeline.
The culture isn't a slide in a recruiting deck. It's the reason our agents don't leave.
The Details:- Full-time
· Monday–Friday, after initial period, Hybrid-Remote is available - Active Utah real estate license highly encouraged — not required, but we love that everyone across our company has the opportunity to actually engage in real estate if they want to. We're not a lack-minded environment. If you want to run your own transactions on the side, we'll make room for that too.
- For the right candidate who is genuinely excited to grow with us, this is a real opportunity, not just a job. Room to build this role into something bigger, backed by a team that actually has your back.
- Salary will be commensurate with your experience in this specific role and the quantity of transactions you can handle per month.
- A seat at a brokerage actually investing in the systems and people behind the scenes — not just the ones closing deals.
If you want a job where you disappear into a spreadsheet, this isn't it.
If you want to be the reason all of our agents and their clients sleep better at night, let’s talk.
