Job Overview
Special Education Registrar – Support Operations
Provides clerical and administrative support for school administrators, processing enrollment and withdrawal requests, maintaining student files, and facilitating communication with stakeholders.
Must have a high school diploma or GED, 0‑1 year of related experience, and reside in Oklahoma.
Key Responsibilities- Maintain and organize school records.
- Coordinate with registrars to obtain missing documents.
- Ensure student files are current and compliant with the Department of Education.
- Process requests for records from outside school systems or agencies within prescribed time.
- Assist in regular file reviews to ensure compliance, verifying required documents.
- Contact school districts to acquire student records for identifying at‑risk students.
- Communicate with parents tactfully and with sensitivity, preserving confidentiality.
- Maintain electronic and paper files in preparation for monthly audits of Federal Income Forms and at‑risk indicators.
- Run withdrawal reports weekly and update systems accurately.
- Ensure school personnel compliance with the Family Educational Rights and Privacy Act (FERPA).
- High school diploma or equivalent + 1 year of related work experience, or equivalent combination of education and experience.
- Ability to pass required background check.
- Demonstrated organizational skills and knowledge of systematic filing procedures.
- Team player with good verbal and written communication skills.
- Proficiency in web‑based database programs, Microsoft Outlook, Word, and Excel.
- Ability to perform multiple tasks concurrently.
- Associate degree.
- Two years of experience.
Salary based on education, experience, job location, required travel, market and internal value. Offers typically fall in the lower half of the range. Benefits elections are available.
