The Clinic Operations Coordinator oversees the day-to-day operational functions of the clinic to ensure services run smoothly and efficiently. This role supports scheduling for ABA and related therapy services, manages front desk operations, maintains clinic organization and inventory, and ensures the facility provides a clean, welcoming environment for families and staff. The Clinic Operations Coordinator works closely with clinical and administrative teams to support efficient operations and positive client experience.

Key Responsibilities Oversee daily clinic operations to ensure a safe, organized, and efficient environment for staff, clients, and families.

Manage and coordinate ABA and related services scheduling to ensure optimal staff utilization and client coverage.

Serve as the primary point of contact for front desk operations, including answering phones, responding to inquiries, and assisting families as needed.

Ensure the lobby and common areas are clean, organized, and welcoming for families and staff.

Maintain clinic inventory including therapy materials, office supplies, and operational equipment; place orders as needed to ensure adequate supply levels.

Develop and manage clinic chore charts and cleanliness standards to ensure consistent upkeep of the facility.

Obtain and maintain DDMAT certification and, in partnership with other DDMAT-certified clinical team members, safely administer, store, control, inventory, and dispose of medications in accordance with regulatory standards.

Support intake and scheduling teams by coordinating client start dates, schedule adjustments, and communication with families when needed.

Monitor clinic capacity and scheduling efficiency, identifying opportunities to improve utilization and operational flow.

Collaborate with clinical leadership to ensure operational processes support high-quality therapy services.

Assist with onboarding and orientation of new clinic staff related to operational procedures and facility expectations.

Ensure compliance with company policies, safety procedures, and operational standards.

Communicate operational updates, facility needs, and scheduling challenges to leadership in a timely manner.

High school diploma required

Minimum 1 year of administrative, scheduling, or healthcare coordination experience

Strong organizational skills and ability to manage multiple tasks simultaneously in a busy clinic environment

Warm, professional communication style with the ability to interact effectively with children, families, and clinical staff
