Position Goal: The Administrative Assistant to the Principal serves as the operational center of the Souhegan High School main office. This position provides high-level, confidential administrative support to the Principal and Dean of Faculty, coordinates the day-to-day functions of the main office, and ensures the school runs with professionalism and efficiency. The ideal candidate brings strong organizational skills, sound judgment, and a genuine commitment to the Souhegan community.
Qualifications- Associate's degree preferred, or an equivalent combination of education and progressively responsible administrative experience.
- Three to five years of administrative experience, preferably supporting executive-level leadership in an educational or similarly complex environment.
- Exceptional organizational, time management, and prioritization skills.
- Excellent written, verbal, and interpersonal communication skills.
- Demonstrated judgment, discretion, and ability to maintain confidentiality.
- Proficiency with Google Workspace and the ability to learn district software and technology systems.
- Ability to build positive, collaborative relationships with students, families, staff, and community members.
- Ability to anticipate needs, solve problems, and adapt to changing priorities.
- Manage the Principal's calendar, appointments, meetings, and daily schedule, proactively resolving scheduling conflicts and prioritizing competing demands.
- Attend meetings with the Principal as requested to capture context, identify action items, and independently coordinate follow-up tasks.
- Provide administrative support to the Dean of Faculty as needed.
- Anticipate recurring operational, communication, and event needs throughout the school year and execute them proactively with minimal direction.
- Serve as a trusted administrative partner by exercising sound judgment regarding issues that can be resolved independently and those requiring administrative attention.
- Screen, prioritize, and route communications, visitors, and requests directed to the Principal.
- Draft, edit, design, and distribute correspondence, reports, presentations, and other communications on behalf of the Principal.
- Support hiring processes by coordinating interviews, maintaining applicant records, and assisting with onboarding logistics.
- Maintain strict confidentiality regarding personnel, student, and school matters.
- Own the substitute coverage process, ensuring classroom vacancies are filled promptly, accurately, and communicated effectively to staff.
- Oversee the daily operations of the main office, ensuring efficient, professional, and welcoming service for students, families, staff, and visitors.
- Process purchase orders and assist with procurement while maintaining accurate records and documentation.
- Provide administrative support for professional learning by managing event setup, registrations, purchase orders, training records, and staff participation tracking.
- Manage copier operations, including vendor relationships, service requests, billing reconciliation, lease administration, and supply ordering.
- Manage all mailroom operations, including mail and parcel distribution, postage meter administration, supply ordering, lease coordination, and payment processing.
- Resolve routine operational issues independently and coordinate solutions across departments as needed.
- Maintain an organized, efficient, and welcoming front office environment that reflects positively on the school.
- Own and maintain the master building calendar, ensuring accuracy and coordination across all school, district, and community events.
- Manage all building use and facility scheduling for school, district, and community activities, serving as the primary point of contact for users while maintaining facility use agreements, insurance documentation, invoicing, and related administrative records.
- Coordinate facility support and operational logistics with custodial staff and other departments for school and community events.
- Develop, prepare, edit, and distribute school communications and informational materials in support of school operations, initiatives, and community engagement, as directed by the Principal.
- Maintain accurate and timely information on the school's digital signage and other communication platforms.
