Benefits & Leave Administrator manages the day-to-day administrative operations of the company’s health, welfare, and retirement programs, oversees attendance tracking and supports employee wellness initiatives. Reporting to the Director of Total Rewards & People Compliance
, this role ensures administrative excellence and regulatory compliance while providing high-touch customer service to employees across the organization.
- Benefits Lifecycle Management: Execute all health and welfare enrollments, changes, and terminations in the HRIS; maintain accurate employee benefit files and lead the administrative logistics for the annual Open Enrollment period.
- Leave & Disability Administration: Serve as the primary administrator for Short-Term Disability (STD) and Family Medical Leave Act (FMLA) compliance, ensuring all documentation, timelines, and employee communications meet legal standards.
- Attendance Management: Monitor and adjust employee attendance data in accordance with company policy. Generate reports related to attendance discipline and partner with HRBP to address any issues.
- Financial Auditing & Billing: Partner with payroll to ensure accurate benefit deductions and reconciliations. Process and reconcile monthly billing for all insurance carriers; audit transactions to resolve discrepancies and ensure the company is only billed for active, eligible participants.
- Compliance & Audit Support: Manage COBRA and HIPAA processes to ensure 100% regulatory compliance; assist the Director in data collection for 401(k) audits, ACA and CMS reporting.
- Well-Being Programs: Support the planning, coordination, and administration of wellness initiatives and employee well-being programs.
- Employee Advocacy & Communication: Act as the first point of contact for employee inquiries regarding coverage, claims procedures, and eligibility, while assisting in the creation and distribution of benefit communication materials.
- Education: Associate’s Degree in Business Administration or a related field.
- Experience: 3–5 years of experience in benefits administration, including leave management and 401(k) support.
- Technical
Skills:
Proficiency in HRMS platforms (Dayforce preferred) and strong Microsoft Excel skills for billing reconciliation and data analysis. - Regulatory Knowledge: Solid understanding of benefit laws, including ERISA, COBRA, ADA, HIPAA and applicable state laws.
- Exceptional Attention to Detail: Ensuring that every enrollment and billing line item is 100% accurate to prevent financial leakage.
- Tact & Diplomacy: The ability to handle sensitive health and financial information with the utmost confidentiality and empathy.
- Customer Service Excellence: Providing clear, calm, and professional guidance to employees navigating complex personal situations (e.g., medical leaves or claims issues).
- Proactive Follow-Through: Owning a task from the initial employee question through to final system entry and vendor confirmation.
