The City of Mill Valley Arts & Recreation Department is seeking a customer-focused, organized, and dependable Recreation Specialist – Facilities to support the daily operations of the Mill Valley Community Center and other City facilities. This part-time position plays a key role in ensuring facilities are safe, welcoming, and well-prepared for community programs, rentals, meetings, and special events.

Working under the general direction of the Recreation Coordinator and Recreation Supervisor, the Recreation Specialist serves as the primary on-site lead during assigned shifts, providing exceptional customer service while coordinating facility operations and supporting part-time staff. The ideal candidate thrives in a fast-paced environment, exercises sound judgment, communicates effectively, and enjoys working with a diverse community.

Essential Duties and Responsibilities

Responsibilities may include, but are not limited to:

  • Serve as the primary on-site lead during assigned shifts, ensuring facilities operate safely, efficiently, and in accordance with Arts and Recreation policies and procedures.
  • Respond to rental inquiries by phone, email, and in person, providing accurate information regarding facility availability, fees, policies, and reservation procedures.
  • Process facility reservation applications, prepare rental contracts, collect required documentation, and maintain accurate reservation records.
  • Coordinate room setups and breakdowns to meet the needs of rentals, programs, meetings, and special events.
  • Conduct facility inspections before, during, and after events to ensure cleanliness, safety, and contract compliance.
  • Open and close facilities following established operational procedures.
  • Serve as the point of contact for Facility Attendants and other on-site staff during assigned shifts, providing direction and support while escalating operational concerns to supervisory staff as appropriate.
  • Monitor facility use to ensure compliance with rental agreements, facility rules, and City policies, addressing issues professionally and consistently.
  • Report maintenance needs, safety hazards, equipment failures, and operational concerns to the Facilities Coordinator or Recreation Supervisor in a timely manner.
  • Conduct facility tours for prospective renters and community members.
  • Assist with event coordination, including vendor access, deliveries, equipment setup, and customer support.
  • Provide outstanding customer service to renters, instructors, volunteers, vendors, contractors, and the general public.
  • Support department-wide special events and recreation programs as assigned.
  • Perform other related duties as assigned.
