Data Entry Operator II

Millington, Tennessee | Full-Time Contract Position

Position Overview

Coastal Management Solutions is seeking qualified candidates for the position of Data Entry Operator II to support Navy Personnel Command personnel records management, document processing, administrative operations, and customer service functions. This position plays a critical role in maintaining the accuracy, integrity, and security of military personnel records while supporting enterprise personnel systems and records management programs.

The successful candidate will work closely with government personnel, military stakeholders, veterans, and system users to process records, validate data, maintain databases, support document imaging operations, and ensure compliance with established policies and procedures.

Data Entry & Records Processing
  • Enter, update, verify, and maintain personnel and administrative data within government databases and systems.
  • Process customer service requests, personnel transactions, record requests, and administrative corrections.
  • Review documents for completeness, accuracy, and compliance with established procedures.
  • Create, maintain, and update electronic and physical personnel records.
  • Process incoming and outgoing correspondence, records requests, and administrative documentation.
Document Management & Quality Control
  • Scan, index, digitize, and electronically archive personnel records and supporting documents.
  • Validate metadata and document information to ensure accuracy and proper classification.
  • Perform quality control reviews to identify and correct discrepancies, duplicate records, and processing errors.
  • Verify document integrity and ensure compliance with records management standards and retention policies.
  • Protect Personally Identifiable Information (PII) and sensitive information in accordance with applicable regulations.
Administrative & Customer Support
  • Provide customer service support to military members, veterans, Navy organizations, and authorized third parties.
  • Maintain logs, reports, databases, and tracking systems.
  • Respond to inquiries and assist with records retrieval and distribution activities.
  • Support functional mailboxes, ticketing systems, and administrative workflows.
  • Prepare reports, status updates, meeting minutes, and other administrative documentation.
Operational Support
  • Assist with inventory tracking, supply management, and records storage activities.
  • Follow and maintain Standard Operating Procedures (SOPs) and work instructions.
  • Support continuity of operations activities and other mission support requirements as assigned.
  • Collaborate with government personnel and team members to resolve operational issues and improve service delivery.
Required Qualifications
  • High School Diploma or GED.
  • Two (2) or more years of experience in data entry, administrative support, records management, document processing, or related fields.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and Teams).
  • Strong attention to detail and ability to maintain a high level of accuracy.
  • Excellent organizational, time management, and problem-solving skills.
  • Ability to handle sensitive and confidential information.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • U.S. Citizenship required.
  • Must possess or be able to obtain and maintain a favorable government security clearance investigation.
Preferred Qualifications
  • Experience supporting military, government, or personnel administration programs.
  • Experience with records management systems, document imaging, scanning operations, or personnel databases.
  • Familiarity with Salesforce, SharePoint, or customer relationship management (CRM) systems.
  • Knowledge of Privacy Act requirements and records management procedures.
