Front Desk Administrator (part‑time) at P3 Athletic & Physical Therapy in Milpitas, CA.
About the PracticeP3 Athletic & Physical Therapy is a boutique physical therapy and athletic performance office that has been established for 7 years. We aim to provide an exceptional experience for all clients, focusing on their health and well‑being.
Role OverviewYou will join our front desk team and manage the waiting room experience, greet patients, answer phones, convert inquiries to paying patients, and ensure a welcoming environment.
Responsibilities- Provide “wow” customer experiences: thoughtful reminders before appointments, warm welcoming demeanor, personalized beverage or handwritten notes, and a focus on net promoter score.
- Prevent no‑shows and drop‑offs: engage patients in thoughtful conversations, communicate value, maintain trust, handle price objections, and follow up before, during, and after appointments.
- Manage the front desk and coordinate patient care: organize schedules and paperwork, maintain a procedures library, record client statuses, and ensure invoices are raised on time.
- Detail‑oriented, fast learner, and able to manage multiple projects.
- Empathetic with high emotional IQ; able to anticipate and address client needs.
- Strong communicator; recall names and faces, build relationships, and answer phone calls effectively.
- Organized, comfortable prioritizing multiple tasks, switching between projects, and adapting to new priorities.
- Proactive and reliable; act independently, bring ideas, and commit to agreements.
- Experience in a customer‑facing environment.
- Track record of turning inquiries into happy customers.
- Track record of prioritizing multiple projects and tasks with ease.
