Position Overview
Our client, a leader in data storage solutions, is seeking an experienced and highly skilled Executive Assistant to provide strategic administrative support to the Chief People Officer (CPO). This is a highly visible role supporting a C-suite executive within a complex, global organization.
The ideal candidate will bring exceptional judgment, professionalism, discretion, and self-awareness, along with a demonstrated ability to anticipate needs and manage competing priorities in a fast-paced executive environment.
Key Responsibilities
Executive Partnership & Prioritization
- Serve as a trusted partner to the Chief People Officer, helping manage priorities and executive commitments.
- Anticipate needs, identify potential challenges, and proactively resolve issues.
- Act as an extension of the executive in coordinating workflows, communications, approvals, and decision-making cadence.
- Exercise sound judgment when balancing competing priorities and confidential matters.
- Manage a highly dynamic and complex global executive calendar.
- Prioritize meetings and commitments based on business objectives and executive priorities.
- Coordinate across multiple time zones and senior-level stakeholders.
- Ensure the CPO is fully prepared for meetings, including agendas, materials, and relevant background information.
- Coordinate internal and external executive meetings, leadership offsites, organizational events, and other strategic engagements.
- Partner with internal stakeholders to manage logistics and ensure seamless execution.
- Prepare agendas, executive briefings, presentations, and supporting materials.
- Document and track key action items, decisions, and follow-up activities.
- Partner closely with People/HR leaders to support leadership operating rhythms, organizational priorities, and strategic initiatives.
- Coordinate cross-functional projects involving multiple teams and senior stakeholders.
- Support international engagements and collaborate with local country teams to build cohesive and impactful agendas.
- Track deliverables, dependencies, and commitments to ensure timely execution.
- Coordinate complex domestic and international travel arrangements.
- Prepare comprehensive itineraries and manage changing requirements in real time.
- Provide proactive support before, during, and after executive travel.
- Manage executive expenses, purchase orders, vendors, and relevant internal systems.
- Partner with internal technical and operational teams to improve administrative tools and workflows.
- Identify opportunities to streamline processes and improve efficiency.
- Coordinate with external vendors while ensuring alignment with internal processes and timely payment/remittance.
- Support special projects, strategic initiatives, and executive research.
- Gather and synthesize information to support executive decision-making.
- Coordinate multiple concurrent work streams and drive projects toward completion.
- 10+ years of experience supporting C-suite or equivalent senior executives.
- Experience supporting senior leadership within a multi-billion-dollar public company or similarly large, complex global organization.
- Demonstrated ability to manage highly complex calendars, priorities, travel, meetings, and executive workflows.
- Exceptional judgment, discretion, professionalism, and ability to handle highly confidential information.
- Strong organizational skills with the ability to manage multiple competing priorities.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and ability to collaborate effectively with executives, senior leaders, employees, administrative professionals, and external stakeholders.
- Advanced proficiency with Microsoft Office, including Outlook, PowerPoint, Word, and Excel.
- Associate degree, Bachelor's degree, or equivalent professional experience.
- Previous experience supporting a Chief People Officer, CHRO, or other senior People/HR executive.
- Experience supporting executives with board-level interactions and materials.
- Experience supporting multiple senior executives.
- Experience working across international teams and time zones.
- Background within a large technology, semiconductor, or similarly complex global corporate environment is a plus.
