Executive Administrative Assistant
We are seeking an experienced Executive Administrative Assistant to provide high-level support to a C-suite executive. This individual will serve as a trusted partner who can anticipate needs, manage complex priorities, and operate with a high degree of discretion and professionalism.
The ideal candidate will bring strong executive presence, business acumen, emotional intelligence, and a proactive mindset. This is not a purely task-oriented administrative role—the successful candidate will understand the executive's priorities, think strategically, and confidently interact with senior leaders and stakeholders.
Key responsibilities include managing a complex executive calendar, coordinating domestic and international travel, preparing agendas and presentations, tracking action items, serving as a key point of contact for internal and external stakeholders, supporting executive-level projects, conducting research, handling expense reporting, coordinating meetings, identifying opportunities to improve processes, partnering with other administrative professionals, and utilizing technology to improve productivity.
Qualifications include 8–10+ years of executive assistant experience, significant experience supporting C-suite executives, experience working within a large corporate organization, strong executive presence with excellent written and verbal communication skills, high level of discretion and sound judgment, strategic and proactive approach to executive support, strong business acumen, comfort in communicating with senior executives and stakeholders, demonstrated stability and consistency, high level of organization, comfort in a fast-paced environment, onsite work five days per week, and local to the Bay Area.
Additional details include an initial contract expected to run through December 2026, potential for extension and/or conversion to a permanent position, standard workweek of 40 hours with potential for 40–52 hours depending on business needs, occasional early morning or evening support, non-exempt status, preference for candidates with a demonstrated history of professional tenure, and a collaborative administrative team within a large corporate environment.
