OverviewFloating Office Specialist2 – Child Welfare team
Location:
Milton Freewater office (supports both Milton Freewater and Pendleton offices). The role requires frequent travel between the two offices and occasional overnight travel for meetings and trainings.
- Provide administrative support to both the Milton Freewater and Pendleton offices, including front lobby operations, answering phone calls, responding to inquiries, and communicating agency rules and policies.
- Issue and track vouchers, transportation passes, and parent mileage reimbursements.
- Support protective services staff by entering case data and documentation into the OR‑Kids database.
- Request and gather relevant records (police reports, out‑of‑state histories, court documents, and medical records) as needed.
- Coordinate scheduling and rescheduling of client visits for the branch office, ensuring accuracy and timeliness.
- Assist with researching and verifying parent information, handling related calls, mail, and documentation.
- Conduct ICWA searches following policies and procedures to determine child eligibility for tribal benefits.
- Support certification and adoption units by maintaining accurate provider, case, and training records; coordinate with the placement coordinator; prepare and distribute certification, adoption, and training packets; and scan all related documents into OR‑Kids.
- Attend required meetings and trainings; provide backup support for clerical staff when needed.
- A valid driver’s license and acceptable driving record.
- Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR an associate degree in any field; OR an equivalent combination of education and experience.
- Proven experience offering high‑quality, professional support across multiple platforms—face‑to‑face, telephone, and more—to meet the needs of internal and external customers.
- Proficiency in web‑based applications and software such as Word, Excel, and Adobe Pro.
- Accurate data entry, retrieval, and spreadsheet management skills.
- Strong organizational abilities with consistent attention to detail in administrative and program‑related tasks.
- Ability to prioritize responsibilities and manage time to meet deadlines and support overall productivity.
- Experience working collaboratively with diverse populations.
Work location:
Milton Freewater and Pendleton offices and community sites. Travel between offices is required, with occasional overnight travel for meetings and trainings.
Hours:
Regular work week with fluctuating hours; occasional overtime may be needed, including evenings and weekends. Physical requirements include lifting up to 50 pounds and assisting children with car seats. The role involves handling sensitive topics related to trauma, abuse, and crises; a trauma‑informed approach is essential.
