Job Summary (Site Asset Management & Business Management Support – COO Office)
- Manage and execute internal communications strategies, including event marketing, announcements, digital signage, and content for internal platforms.
- Support and coordinate corporate events, employee engagement activities, and large-scale event logistics, including vendor management and procurement.
- Serve as the operational point of contact for employee networks, committees, and site management events.
- Maintain and organize site assets such as branded materials, swag, digital content libraries, and event supplies.
- Prepare executive-level reporting, presentations, and briefing materials for site governance forums and leadership meetings.
- Support the new hire experience through welcome communications, orientation sessions, facility tours, and culture programming.
- Oversee budget and expense management processes, including tracking, planning, vendor setup, and payment processing for site-wide activities.
- Utilize project management skills to manage multiple concurrent work streams with tight deadlines and competing priorities.
- Leverage Microsoft Office Suite, collaboration tools, and AI (such as MS Copilot) to enhance productivity and workflow optimization.
- Act as the first point of contact for employee inquiries, workplace escalations, and engagement process support, resolving issues in real time.
- Build and improve operational processes in a dynamic, fast-paced environment, collaborating with infrastructure groups and business units.
- Gather employee feedback and insights to continuously improve programming and reinforce site values and culture.
- Provide support and contribute to special projects and operational needs for other US Global Centers as needed.
- Maintain high attention to detail, accountability, and a proactive approach to work with minimal supervision.
Required
Skills & Experience:
- 7+ years in internal communications, events, employee engagement, or site operations in a corporate environment
- Strong project management, communication, and budget management skills
- Experience supporting senior stakeholders and preparing executive-level materials
- Proficiency with Microsoft Office Suite and collaboration tools; familiarity with AI productivity tools
- Bachelor’s degree or equivalent experience
Preferred:
- Experience supporting COO office or site leadership
- Experience with digital signage, multi-channel content, and large-scale event management
- Familiarity with expense and budget tools (e.g., Smaart, ENC workflows)
- Ability to thrive in evolving environments and apply AI to day-to-day work
