Financial Aid Operations Coordinator
Under the supervision of the Assistant Vice President of Financial Aid, the Financial Aid Operations Coordinator (FAOC) performs a wide variety of department processes and financial aid programs. The FAOC manages the daily release of Financial Aid Award Letters for all student populations, oversees the FAFSA Renewal Campaign, handles federal and private loan administration, coordinates financial aid edit reports, and provides superior customer service to students and families.
The role also involves managing the Financial Aid team student workers, inventorying supplies, and supporting various administrative and compliance functions.
- Coordinate and perform daily electronic file transfers for federal student and parent loan originations, completions of MPNs, and loan counseling to and from the Department of Education.
- Coordinate exit interview communication for students who withdraw or leave the college.
- Access the federal site for follow‑up of unmatched records.
- Manage the Federal Loan change spreadsheet to ensure all changes are submitted appropriately.
- Coordinate and perform daily certification on the ELM site for processing of student and parent private loans.
- Access the ELM site for follow‑up of unmatched loan records.
- Coordinate loan change spreadsheets for DL and private loans.
- Reconcile change sheets to ensure updates are completed.
- Reconcile weekly cashiering sessions to ensure loans paid to student accounts tie appropriately to student records.
- Perform private loan reconciliations between the student account and ELM.
- Coordinate and perform daily printing, distribution, error correction, and mailing processes for all student populations.
- Coordinate all pieces of the award letter mailing to ensure students receive personalized materials and supplemental brochures.
- Manage the communication timeline and assignment of tasks for completion of the multi‑month campaign.
- Coordinate announcements of the campaign, manage student worker duties, and conduct outreach activities such as tabling and outbound calling campaigns.
- Provide superior customer service via email, fax, telephone, virtual or in‑person interactions.
- Assist families in completing the FAFSA and related applications.
- Serve as the first level of support to the service team when loan questions arise.
- Responsible for hiring work‑study students annually in SFS.
- Represent SFS at on‑campus Job Expos.
- Manage daily student worker tasks and timely submission of timecards.
- Act as the liaison to the Tech Center for troubleshooting data‑load issues.
- Manage the ISIR suspense process in absence of the manager.
- Coordinate daily, weekly, monthly, and semesterly edit roster distribution to counselors for review.
- Coordinate weekly run of Missing Information Letters & Emails to all student aid applicants.
- Ensure deadlines are met and resolve conflicting information.
- Manage SAP review/appeal process under the supervision of the AVPFA.
- Assist in ensuring responses to students are timely.
- Conduct bi‑annual Cost of Attendance Survey and analyze response data.
- Represent the Student Financial Services Office/Financial Aid Department at events such as Accepted Students Days, Open Houses, and semester opening days, including nights and weekends.
- Answer questions and provide general support to students and families.
- Manage inventory of supplies, brochures, and publications and notify relevant VP when inventory is low.
