We are seeking a detail-oriented and experienced Bookkeeper / Accounting Manager to oversee the financial operations of a growing law firm. This role is responsible for managing accounting functions, trust accounting compliance, payroll, employee benefits administration, and financial reporting. The ideal candidate has accounting or bookkeeping experience, is well versed in Quick Books Online (QBO), and is willing to learn Clio Manage (legal billing system software), law firm accounting procedures, and trust accounting requirements.
This position plays a critical role in maintaining accurate financial records, supporting firm leadership with financial reporting, and ensuring compliance with payroll, benefits, tax, and insurance obligations.
Key Responsibilities Accounting & Financial Management for Firm- Manage and maintain the integration between Clio and Quick Books Online (QBO).
- Reconcile discrepancies between Clio and QBO and implement necessary corrections.
- Download, record, and categorize bank and credit card transactions.
- Post deposits, client payments, and credit card adjustments.
- Monitor and reconcile all bank, operating, trust, and credit card accounts.
- Track cash flow and manage draws and payments on the firm's line of credit.
- Process electronic disbursements and vendor payments.
- Review invoices and supporting documentation for payment approval.
- Prepare monthly journal entries and account reconciliations.
- Reconcile sales accounts and allocation entries.
- Maintain and reconcile attorney and shareholder allocation records.
- Prepare monthly financial statements and management reports.
- Manage and perform monthly client billing activities through Clio.
- Reconcile firm client trust account activity in compliance with applicable legal and ethical requirements.
- Process trust disbursements and apply funds to client invoices.
- Monitor online client payments and ensure proper accounting treatment.
- Process bi-monthly payroll.
- Calculate and process payments owed to employees.
- Maintain employee payroll records and demographic information.
- Administer employee onboarding and offboarding for benefits plans.
- Manage annual open enrollment for health, dental, and vision insurance programs.
- Coordinate with insurance carriers and benefit providers.
- Prepare and submit 401(k) contributions.
- Coordinate annual 401(k) reporting requirements.
- Review and sign Form 5500 filings and distribute required participant notices.
- Prepare and submit annual professional liability insurance applications.
- Prepare and submit annual workers' compensation reports.
- Review vendor payments and prepare annual Form 1099 filings.
- Maintain and renew software licenses, including Clio, Quick Books Online, and Ultra Tax.
- Support financial reporting, process improvements, and accounting system administration.
- Serve as a key resource for accounting, payroll, and compliance matters.
- 3+ years of bookkeeping, accounting, or accounting management experience.
- Advanced knowledge of Quick Books Online (QBO).
- Experience with bank reconciliations.
- Strong understanding of payroll processing and employee benefits administration.
- Proficiency with Microsoft Excel, including financial reporting and reconciliations.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities while maintaining accuracy and confidentiality.
- Prior accounting experience within a law firm or professional services environment.
- Knowledge of legal trust accounting requirements.
- Experience with 401(k) administration, Form 5500 reporting, and insurance renewals.
- Associate's or Bachelor's degree in Accounting, Finance, or a related field.
