Country Travel Discoveries, LLC is seeking a detail-oriented and customer-focused Reservations Specialist to support our group travel programs and tour operations. This role is central to ensuring accurate reservations, smooth coordination of flights and tours, and timely delivery of traveler communications. The ideal candidate is highly organized, technologically proficient, and enjoys supporting both clients and internal teams in a dynamic travel environment.
Key Responsibilities Group Tour Reservations- Manage reservations for group tours, including data entry, updates, and confirmations
- Coordinate with tour vendors, suppliers, and internal departments to ensure accuracy
- Monitor booking deadlines, capacity, and special requests
- Maintain organized and up-to-date reservation records
- Book and manage airline reservations for individual travelers and groups
- Handle ticketing, changes, cancellations, and schedule updates
- Coordinate group air contracts and passenger manifests as needed
- Ensure compliance with airline policies and tour requirements
- Prepare and distribute traveler communications, including Get Ready, Get Set, and Go documents, as well as Thank You communications
- Support tour operations staff with pre-departure and post-tour tasks
- Assist with document accuracy, formatting, and mailing schedules
- Provide general administrative assistance as assigned
- Support internal teams with data entry, reporting, and file management
- Assist with special projects and operational needs as they arise
- Previous experience in reservations, travel operations, or administrative support preferred
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Proficiency with computer systems and software, including Microsoft Word, Excel and Power Point
- Ability to learn and effectively use travel reservation and booking systems
- Strong knowledge of U.S. and international geography, including familiarity with cultures, social customs, and travel considerations of various destinations and countries
- Customer-service mindset with the ability to work collaboratively across teams
- Fast-paced, deadline-driven environment requiring accuracy and confidentiality
- Ability to manage multiple tasks and priorities simultaneously
- Willingness and ability to travel domestically and internationally as needed to support tours and company initiatives
- Ability to work independently while contributing to a team-oriented culture
- Willingness to be “on-call” on weekends
- This is a in-office position located in Elm Grove, WI
- This is a full-time position
