ADMINISTRATIVE ASSISTANT - SCHOOLThe Milwaukee Rescue Mission’s Cross Trainers Academy (CTA) is a K4‑12th grade Christian Academy in the heart of Milwaukee, serving students and families who are searching for a strong academic learning experience in a gospel‑centered environment. As a Choice School, CTA is committed to offering a comprehensive, student‑centered educational experience that serves the whole student.
Cross Trainers Academy is seeking a full‑time Administrative Assistant to focus on supporting operations and programs at the North Campus, including collaborating with the supporting departments and programs at the Central Campus, when needed. This individual will serve as a primary conduit for centralizing communications, operations and logistics between campuses.
WORK SCHEDULE:Full‑time, Monday 7:00am-4:00pm and Tuesday-Friday 7:00am-3:00pm, with the flexibility to occasionally work odd hours for events
LOCATION:North Campus, 1530 W. Center Street, Milwaukee, WI. 53206
RESPONSIBILITIES:- Assist CTA Administration with various clerical tasks
- Assist with state of WI DPI reporting and bi‑annual audits, purchase orders, staff reimbursements, monthly credit card reconciliation and monthly donor thank‑you cards
- Support CTA school office responsibilities associated specifically with scheduled Youth Programming and CTA Family Engagement events
- Attend and provide minutes for the North Campus monthly logistics meeting relating to the scheduling of events/set‑ups, facilities, program management & support
- Parent and Family Engagement Liaison, assisting with coordinating and promoting events, food service communications (seasonal), confirming facilities requests and providing logistical support and assisting with the coordination of the distribution of hygiene items, clothing, winter coats, baby items, etc. through the programming and events at CTA
- Attend Parent and Family Engagement events which occur outside of school hours
- Assist with student enrollment annually in the spring of each year and through the summer months
- Work closely with the Volunteer Coordinator to coordinate North Campus volunteers
- Coordinate school pictures, annual student dental screenings, and monthly student birthday recognition
- Coordinate resource acquisition with Central Campus to include school supplies, student backpacks, clothing, hygiene items and student incentives/toys
- Assist with coverage of the CTA school office reception area (phones and greeting students/parents) when needed
- Ensure the Communications team is aware of school events for the purpose of attending and photographing
- Collaborate with the Communications team to develop and maintain the information on the CTA website pages
- Assist with seasonal Outreach coordination (Easter, Thanksgiving, Christmas)
- Associate’s Degree required;
Bachelor’s Degree preferred - Previous administrative, school and/or assistant experience required
- Experience working for a non‑profit organization preferred
- Strong organizational, prioritization, and time‑management skills
- Strong collaboration and communication skills
- Detail oriented with high degree of accuracy
- Proficient in the following platforms:
Excel, Outlook, Gmail, Google Drive, Google Calendar, Volgistics, MRM Tracker - Culturally competent and relational with excellent interpersonal communication and mentoring skills
- Ability to work effectively with students, diverse families, colleagues and community partners
- Self‑motivated, enthusiastic and community‑driven with a positive attitude and readiness to be a team player
- Proven skills in logistics, group facilitation and data collection
- A valid driver’s license and good driving record is a must
- Must be able to handle physical workload – ability to sit and stand for long periods of time, walking, stair climbing, kneeling, squatting, crouching, reaching, handling and gripping without difficulty, repetitive movement of both hands and arms, as well as occasional lifting or moving items with a maximum weight of 40 lbs. a short distance (e.g., floor to shelf or cart), and pushing or pulling heavier items with the use of a cart or dolly.
