About the Role
We are seeking a highly organized and detail‑oriented Project & Event Support Specialist to provide comprehensive support across programs, meetings, documentation, and event coordination. This role is ideal for a proactive professional who excels in managing multiple tasks, partnering with stakeholders, and delivering exceptional customer service in a fast‑paced, collaborative environment.
Key Responsibilities- Perform tasks associated with running programs, tracking attendance, updating documentation, and maintaining process materials.
- Provide full‑spectrum project support, from clerical activities (scheduling, meeting coordination, note‑taking) to higher‑level project management tasks and budget support.
- Develop tools that streamline project management (templates, budgeting tools, checklists, etc.).
- Write or edit project documents such as Scope Definitions, Risk Assessments, Requirements Definitions, and RFPs.
- Support change control processes and defect tracking when applicable.
- Track and document tasks, deadlines, and deliverables across assigned projects.
- Organize large meetings, conferences, and onsite events, including room setup and coordination with supporting teams.
- Serve as the primary point of contact for event requirements, working closely with catering, facilities, AV, and security teams.
- Ensure requested space and resources match client needs; work directly with clients to adjust plans when necessary.
- Use the event reservation system to schedule and track events, including managing digital room signage.
- Distribute Banquet Event Orders (BEOs) to clients and relevant support services.
- Prioritize and respond to requests promptly, providing guidance, solutions, and follow‑through.
- Communicate with internal and external stakeholders via email, phone, and in‑person meetings.
- Build strong rapport and deliver superior customer service to ensure a positive experience.
- Create Power Points, maintain databases, and manage digital and physical documentation.
- Produce light reporting and perform intermediate Excel tasks as needed.
- Ensure accuracy on all forms, documentation, and updates shared with stakeholders.
- 5+ years of experience within project support, project coordination, or a project management framework.
- 2+ years of event planning experience.
- 2+ years in a customer‑facing role.
- Proficiency in Microsoft Office, especially Excel, Word, and PowerPoint.
- Strong attention to detail, organizational ability, and follow‑through.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively within a team environment.

- Stable onsite schedule with no evenings or weekends required.
- Onsite Monday through Friday, 7:00 AM–3:30 PM.
- Role requires presence across two locations (Downtown and Franklin), with the majority of time spent Downtown.
Contract to Hire position based out of Milwaukee, WI.
Pay and BenefitsThe pay range for this position is $20.00 – $23.00 /hr. Eligibility requirements apply to some benefits and may depend on job classification and length of employment. Benefits are subject to change and may be subject to specific elections, plan, or program terms.
