We are seeking a highly organized and proactive Project Administrative Assistant to work 100% on site in Milwaukee WI, M-F from 7:00 am - 3:30 pm (some overtime available).
The ideal candidate excels at balancing multiple priorities, delivering exceptional customer service, and supporting both administrative and project‑level tasks with minimal supervision. This person is detail‑oriented, comfortable coordinating events and meetings, strong at documentation, and skilled in building relationships with internal and external stakeholders. Success in this role requires professionalism, flexibility, and strong problem‑solving abilities.
Responsibilities:- Execute tasks related to program operations, including tracking attendance and maintaining process and role documentation.
- Provide a full range of project support from clerical duties to higher‑level project management and basic budgeting functions.
- Develop tools to streamline project workflows (templates, budgeting aids, checklists).
- Write or edit project documents such as Scope Definitions, Risk Assessments, Requirements Definitions, and RFPs.
- Define and document project management processes; research issues and provide recommendations.
- Manage change control and defect tracking (if applicable).
- Organize, schedule, and support large meetings, conferences, and onsite events, including room setup and logistics.
- Prioritize requests and ensure alignment with available space, resources, and support needs.
- Provide event requirements to catering, facilities, AV, and security teams to ensure successful execution.
- Use event reservation systems to book and track events; manage room signage systems.
- Distribute Banquet Event Orders (BEOs) and communicate event details to clients and support teams.
- Deliver superior customer service to internal and external guests, maintaining professionalism and rapport.
- Independently resolve requests that fall outside normal guidelines.
- Respond to requests via email, phone, or in‑person meetings promptly and effectively.
- Provide suggestions, ideas, and solutions to meet client needs.
- Take meeting notes, track tasks, and ensure follow‑through on assigned action items.
- Prepare PowerPoint presentations, update documentation, and support process improvements with stakeholders.
- Maintain tracking tools and generate light reports using Excel (proficiency required).
- Keep project files, templates, and documentation organized and up to date.
- 3+ years of experience in administrative support, project coordination, or roles within project-based environments.
- Strong proficiency in Microsoft Excel, PowerPoint, Outlook, and event scheduling systems.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to manage multiple priorities independently.
- Experience coordinating meetings, events, or conferences.
- Professional presence and strong customer service orientation.
- High attention to detail with the ability to maintain accurate records and documentation.
Codeworks discloses that the anticipated hourly pay range for this position is between $15 and $23. This range is subject to change based on job‑related factors, including client requirements where applicable. All full‑time Codeworks employees are eligible to enroll in the company’s benefits plan.
