Job DescriptionOur client in Milwaukee is seeking an onsite Project Administrative Assistant

Tasks: Running programs, tracking attendance, updating documentation on roles and processes, onsite support, Power Points, meeting notes, tracking and documenting tasks, organizing large meetings/conferences and set‑up, Excel proficiency necessary and light reports, updating processes with stakeholders. Provide full range of project support from clerical activities such as meeting scheduling to higher level project management functions and budget support. Develop tools to simplify project management processes (templates, budgeting tools, deliverable checklists), write or edit project documents (Scope Definition, Risk Assessment, Requirements Definition, Requests for Proposals), define and document project management processes and research issues.
Manage change control and defect tracking (if applicable). Requires 5+ years of experience in the project space/framework.
Duties & Responsibilities
- Prioritize requests and align the need with the most appropriate space and level of support, and independently address and resolve requests that fall outside guidelines.
- Provide superior customer service to build rapport with internal and external guests to provide a positive experience.
- Provide event requirements to catering, facility services, AV, and security teams to ensure client requirements are fulfilled.
- Follow through to ensure client‑requested requirements meet space availability and adjust as needed, working directly with the client to achieve desired results.
- Respond to customer requests appropriately, following up on service requirements via email, phone, or in‑person, resolving matters promptly and professionally.
- Use event reservation system to book and track events, including managing room signage system.
- Responsible for distribution of Banquet Event Orders (BEO), coordinating event details with support services.
Requires 5+ years of experience, primarily in project management or related frameworks.
