Position: Project Coordinator (Mission Critical/Data Center)

Job Description

kW MCE is seeking a Project Coordinator for the following offices:
Tempe, AZ;
Atlanta, GA;
Troy, NY;
Herndon, VA;
Milwaukee, WI.

The Project Coordinator supports the Project Leader and project teams with administrative duties throughout the project lifecycle. They proactively assist in moving projects forward, enhancing communication with the team and the client, and facilitating integration.

Your Impact
  • Maintaining project calendar including project schedules and publishing to the project team.
  • Assisting in preparation of materials required for project pursuit.
  • Assisting in preparing PSA checklist and other internal forms.
  • Assisting in processing contracts and sub‑consultant contracts.
  • Assisting in scheduling design reviews, charrettes, and regular project meetings.
  • Attending project, department and team meetings and taking meeting notes. Distributing meeting notes internally and externally as required.
  • Assisting in generating project financial management reports.
  • Tracking invoices and project payments.
  • Tracking scope changes and preparing add‑on service requests for the client.
  • Creating and maintaining project document file storage within the TK1SC standard project directory structure.
  • Assisting the project team in receiving, filing, distributing, processing, tracking due dates and responding to RFIs, submittals and responses.
  • Providing production support for project technical staff.
  • Assisting project teams in distributing project materials to clients and other industry partners.
  • Editing and formatting specifications, tables of contents, basis of design reports and other written materials as required.
  • Assisting Engineers of Record in processing and filing project status forms with authorities having jurisdiction.
Who You Are

Required Qualifications
  • High School Diploma or GED required.
  • 5+ years of experience.
  • Proficiency with MS Office applications, including Word, Excel, Outlook, PowerPoint and others.
  • Basic CAD and Revit skills a plus.
  • Familiarity with Deltek Vision is an advantage.
  • Familiarity with Smartsheet is an advantage.
  • Working knowledge of cloud‑based file sharing platforms such as SharePoint, Share File, Newforma, Dropbox, Box, etc. is an advantage.
  • Excellent verbal and written communication and problem‑solving skills.
  • Strong computer and typing skills.
  • Detail‑oriented and thorough.
  • Self‑motivated and flexible to take on new tasks and assist teams.
  • Strong willingness and eagerness to learn.
  • Deadline‑oriented, with the ability to track and maintain multiple concurrent deadlines.

Compensation

Expected hourly (all locations): $29.00–$35.00.

WSP USA provides the compensation range that it believes it might pay for this position, based on the successful applicant’s education, experience, knowledge, skills, and abilities, as well as internal equity and specific geographic location. WSP USA reserves the right to ultimately pay more or less than the posted range and to offer additional benefits and other compensation, depending on circumstances not related to an applicant’s sex or other protected status.
