Administration Specialist (Milwaukee, WI)

Summary - The Administration Specialist maintains eligibility records for participants. Includes generating and mailing self-pay notices, retiree billings, notices of cancellation, COBRA election forms, notifications to newly eligible participants, adding/terminating dependents, posting payments, updating eligibility information provided by outside sources or members.

Essential Duties and Responsibilities include but not limited to
  • Enroll Medicare-eligible members in MAPD arrangement.
  • QMCSO processing.
  • Provide eligibility counts to accounting department for billings.
  • Posting and balancing of member payments.
  • Create and upload contribution files to recordkeeper - DC Pensions
  • 401(k) enrollment/changes - notification to employers.
  • 401(k) Benefit Withdrawal Processing.
  • QDRO processing.
  • Process death benefits: request pertinent information and coordinate with claims department.
  • Customer service: respond to participant, Trustee and service provider inquiries (including eligibility, death benefits, 401(k), etc.)
  • Backup for other clients.
  • Compile information needed for annual audits and respond to auditors' questions.
  • Coordinate mailings to participants: contributions confirmations, open enrollment, benefit or self-pay changes, provider newsletters, etc.
  • Compile handouts for member educational classes.
  • Compile new member packets for distribution by the Union Office.
  • Annual wellness stick updates.
  • Serves as backup to Pension Specialist for 400 DB Pension Fund.
  • Regular and predictable attendance is an essential function of this job.
Qualifications - This is a fast-paced position. Multi-tasking skills, ability to prioritize tasks, being detail oriented, strong organizational skills and professional communication skills are required. Must be proficient in Microsoft Word, Excel, and Outlook.

Education and/or Experience - High School diploma or GED. Prior related work experience is a plus.

Language Skills - Ability to read, interpret and follow procedures outlined in Plan documents, user manuals, department procedures manual and other related documents. Ability to speak clearly and effectively with members, dependents, employers and coworkers.

Mathematical Skills - Ability to apply concepts of basic addition, subtraction, multiplication, and division. Must be able to understand and apply knowledge of decimals, fractions, and percentages.

Reasoning Ability - Analysis of accuracy of amounts in reports is required. Ability to apply common sense to carry out detailed written or verbal instructions.

Physical Demands - This position involves sustained periods of sitting and keyboarding and occasionally lifting up to 20 pounds.

Work Environment - The position operates in an office/clerical setting, using standard office equipment such as computers, phones, photocopiers, filing cabinets, fax machines, etc. The department can be fast paced.

Work Schedule - Full-time. Monday - Friday, 8:00am - 4:30pm. Required in office (No at home days).
