The Client Delivery Specialist serves as the primary operational partner for assigned attorneys within a practice. This role manages workflow execution, cross‑functional coordination, and administrative support while reducing attorney project‑management burden.
Responsibilities Strategic Workflow Ownership- Manage full lifecycle workflow for assigned attorneys.
- Proactively anticipate attorney needs, manage priorities, and resolve administrative challenges with minimal supervision.
- Coordinate and track ongoing projects to ensure deadlines and deliverables are met; monitor milestones; update status reports; communicate progress; assist with project plans, timelines, and resource allocation.
- Handle special projects and other duties as assigned to support the efficiency and success of the attorneys’ practices.
- Effectively use workflow management software to log and manage workflow.
- Prepare and process new matter forms, request conflict checks, and open new files.
- Coordinate intake and engagement processes, maintain documentation, and reduce repetitive attorney involvement.
- Assist attorneys with tracking and monitoring alternative fee arrangements.
- Assist attorneys with automation, tracking, and monitoring of matter budgets.
- Partner with the billing team to oversee time entry, billing inquiries, and collections.
- Coordinate client communications, manage sensitive information, and serve as liaison between attorneys, clients, and internal departments.
- Proactively manage attorneys’ inboxes, prioritizing and flagging urgent communications; draft, review, and respond to emails on behalf of attorneys; organize and archive correspondence.
- Provide general administrative support: maintain attorney contacts; track CLE and membership requirements; operate office equipment.
- Conduct all business confidentially; cope with demands from timekeepers; maintain composure under pressure.
- Review and route incoming mail and fax communications; prepare and process outgoing mail and faxes; arrange specialized mail or messenger services; ensure attachments, exhibits, and enclosures are included.
- Assist in coordinating attorneys’ calendars, meeting arrangements; make travel arrangements and prepare itineraries.
- Prepare, edit, format, and proofread legal documents, correspondence, and presentations; manage version control, file organization, and secure document storage in compliance with firm policies.
- Type, transcribe, revise, and proofread legal documents accurately; prioritize assignments; meet specific deadlines on projects.
- Show proficiency in the assigned Practice Specialty Center.
- Exchange information regularly, document workflows for coverage that support attorney preferences, and share training tips with team members.
- Demonstrate effective teamwork and communication; participate in regular team meetings.
- Delegate specific tasks to other teams, as appropriate, to ensure coverage, timely completion, and quality control.
- Identify opportunities for process improvements.
- Leverage automation and dashboards to improve tracking, organization, and execution of work.
- Participate in applicable AI and technology‑related trainings.
- Research emerging tools and best practices and recommend process improvements.
