Job Responsibilities
- Serve as the initial point of contact for Latina Resource Center incoming calls, client referrals, and visitor requests.
- Manage daily office responsibilities; analyze and organize general office procedures; review office duties for completeness, accuracy, and timeliness of reports, correspondence, and other office information; review office activities for efficiency.
- Assist the Latina Resource Center Director in maintaining and submitting check requests, purchase requisitions, invoices, credit card receipts, and other purchase documentation.
- Assist with gathering program performance reports and preparing program reports and surveys.
- Assist with maintaining staff and program schedules, PTO requests, and staff absences.
- Assist with scheduling meetings and preparing for onsite and/or virtual meetings.
- Accurately record minutes from meetings with MOU partners and community partners.
- Coordinate advocates for schedules, group meetings, and program community meetings.
- Conduct client pre‑screening to assess safety, program eligibility, and direct cases to the Intake Specialist or appropriate staff.
- Provide crisis support to emergency walk‑ins and agencies requesting immediate advocacy services, directing them to the Bilingual Intake Specialist or appropriate staff.
- Respond to the Latina Resource Center Crisis Line as required.
- Schedule transportation for clients.
- Order and maintain all program supplies and group materials.
- Maintain inventory of outreach materials, outreach activities, and community presentations.
- Perform other duties and responsibilities as assigned to ensure services are provided to victims of domestic violence, dating violence, and stalking, and that program objectives are met.
- Maintain confidentiality and adhere to a strict code of confidentiality.
- High school diploma or equivalent; special office management training and/or personnel office experience.
- Two years’ experience performing office management duties in a community-based organization or similar setting.
- Bilingual in English and Spanish, fluent in both verbal and written forms.
- Demonstrated ability to perform office management and secretarial duties at a high level of reliability and proficiency; excellent grammar skills; ability to develop plans and strategies for organizing office systems; positive interpersonal relations in stressful situations; trustworthiness to all staff, clients, and volunteers.
