Job Summary
The Waisman Center's Early Childhood Program (WECP) is an inclusive, full‑day, year‑round preschool for children ages one through six. The Finance and Administrative Specialist provides programmatic, administrative, and financial support to the WECP Leadership Team, serving as the first point of contact for families and visitors.
Key Responsibilities- Manage enrollment and enrollment information, creating and maintaining customer accounts.
- Process and send monthly invoices to families, and manage tuition payments, including deposits and contract fees.
- Pay invoices and bills, track payments, apply customer credits, and balance ledgers.
- Process caregiver and criminal background checks, prepare licensing and accreditation reports, and compile immunization reports for the Department of Children and Families.
- Handle vendor contracts, purchasing of supplies, equipment, and travel, and maintain the visitor log.
- Conduct general reception duties, respond to inquiries, and assist with reception of visitors.
- Schedule logistics for meetings, conferences, travel, and work unit operations.
- Provide back‑up classroom support as staffing needs arise.
- Previous administrative and/or financial experience.
- Strong interpersonal, verbal, and written communication skills.
- Proficiency with Microsoft Office, Adobe programs, Workday, Quick Books, or other accounting software.
- Attention to detail, effective time management, and independent decision‑making.
- Minimum of two years professional experience in a childcare setting, preferably in an administrative or financial role.
- Experience with DCF licensing or accreditation requirements for early childhood education.
- Experience using childcare management software such as Brightwheel or Procare.
- Ability to analyze data and develop comprehensive reports.
Associate's Degree in administration, finance, or early childhood education preferred;
Bachelor's Degree strongly preferred. Candidates without a degree but with relevant coursework and experience will be considered.
Base salary: $48,107 minimum, negotiable based on education, experience, and skills. Benefits include generous vacation, holidays, paid time off, competitive insurance, savings accounts, retirement benefits, and access to University health and wellness programs.
