Overview
Administrative Assistant II, Physician Assistant Studies. This role centers on supporting the administrative needs of the MUPA clinical year. It primarily focuses on student onboarding for clinical rotations, coordinating with clinical partners and students, and entering student rotation requests into different software systems for each organization. As new preceptors/organizations are recruited, the job will require tracking these recruitments and coordinating with the Office of General Council and the clinical faculty team to ensure onboarding is complete and that preceptors are appropriate for clinical rotations.
It is also responsible for verifying invoices based on the clinical rotation schedule with preceptors/organizations that receive payments for student rotations.
- Provide clinical site onboarding support of health care partners (e.g., My Clinical Exchange) with student and administrative communication.
- Serve as the point of contact for health care partner administrative leads.
- Enter and track all clinical student rotation requests based on different organization processes/software systems.
- Assist with new preceptor/site onboarding, including Affiliation Agreements, updating the recruitment tracker, building new preceptor/sites in Exxat, entering preceptor availability, and ensuring all documents are obtained as part of the onboarding process.
- Reconcile student evaluations required from preceptors, outreach, communication, and tracking for accreditation purposes.
- Assist with accreditation license and certification verification and collection of CVs, per accreditation standards.
- Monitor invoicing, billing, and payments for sites requiring fees; reconcile changes and track credits.
- Track missed days for clinical students and reconcile missed days with asynchronous work completion.
- Performs all other duties and responsibilities as assigned or directed by the supervisor, including but not limited to receiving deliveries and greeting visitors to the building.
- High school diploma or equivalent.
- A minimum of 2 years of related Administrative Support experience.
- Knowledge of how health care partner/hospital systems function with training PA students.
- Excellent customer service and communication skills.
- Excellent organizational and prioritization skills.
- Experience with financial information and use of Excel spreadsheets.
- Ability to organize and maintain manual and electronic filing systems.
Skills and Abilities
- Bachelor's degree in Business, Communications, or related field.
- Health Care landscape background (not as a provider).
