Summary

United Way of Greater Milwaukee & Waukesha County is currently seeking an Administrative Assistant for our 2026 Community Campaign. Each fall, large numbers of area companies hold a workplace giving campaign for United Way. During this busy time, an Administrative Assistant helps United Way of Greater Milwaukee & Waukesha County with daily administrative tasks to make the campaign a success. This position starts with United Way on Tuesday, August 4th with thorough training, and ends on Thursday, December 17th with the close of the Community Campaign.

Responsibilities and Essential Job Functions
  • Learn all about United Way’s donor database and have a hand in data clean‑up and maintenance projects.
  • Assist with large mailing campaigns.
  • Fulfill requests for company campaigns including materials, banners, tablecloths, and incentives (United Way branded items, donated tickets and more).
  • Maintain storage and organization of campaign incentives and campaign materials.
  • Attend and participate in weekly staff meetings, ongoing training sessions, United Way’s Community Campaign Kickoff and Campaign Closing Celebration.
  • Adapt activities to accommodate virtual and hybrid campaigns as needed.
  • Manage weekly meetings for Campaign Coordinators, collect questions and agenda items, take notes, and follow up with videos and process documentation.

  • Intermediate Excel skills necessary to create and manipulate spreadsheets.
  • Intermediate Word skills required to perform mail merges.

  • Strong written and verbal skills necessary for effective communication in all facets of our business.
  • Adaptability to a fast‑paced environment with very high demands.
  • Ability to represent United Way of Greater Milwaukee & Waukesha County in a consistently professional manner.
Education and Experience Requirements
  • A high school diploma or equivalent.
  • A commitment of 40 hours per week.
  • The ability to lift up to 25 pounds (to deliver campaign materials) and to walk, sit and stand for extended periods.
  • A valid driver’s license, reliable automobile and auto insurance coverage is preferred. Mileage is reimbursed if the job requires driving.
  • 1 year of relevant work experience (performing administrative tasks in an office environment) is preferred, or an internship/community service equivalent.
