Schedule:
Monday‑Friday 6am‑7pm; coverage at multiple rehab locations including St Luke's, West Allis, South Shore, Sinai, Grafton, Summit, Mount Pleasant.
Float premium:
Eligible for $2 float premium
Pay Range: $20.80 – $31.20
This position provides coverage for the physical therapy department across multiple outpatient rehabilitation sites. Responsibilities include greeting patients, managing schedules, handling inquiries, preparing reports, and maintaining office equipment. The role supports clinical and administrative needs for each location.
Major Responsibilities- Greets patients and visitors promptly, collects insurance copayments, and responds to routine information requests.
- Schedules and maintains calendars for appointments, meetings, and travel; coordinates agenda, site selection, catering, AV, and document preparation.
- Schedules patients and enters information into the computer system; coordinates appointments with other areas or physicians as needed.
- Answers and screens telephone calls, triages clinical calls, and resolves problems.
- Assembles, copies, and releases patient medical records; collaborates with Medical Records Department for additional information requests.
- Generates and distributes basic reports; modifies or updates existing reports as required.
- Opens, sorts, and distributes mail and departmental documents; operates and maintains office equipment such as fax, printer, photocopier; orders office supplies when needed.
- Completes referrals, tracks re‑authorizations, processes patient registration, and obtains required information.
- May process billing and reimbursement forms; maintains logs and performs calculations; assists with data collection for reports and meetings.

Education RequiredHigh school graduate
Experience RequiredTypically requires 1 year of experience in scheduling, customer service, and administrative/clerical support duties.
Knowledge, Skills & Abilities Required- Ability to multitask, route calls, greet patients, and maintain appointment schedules.
- Proficiency with Microsoft Office (Excel, PowerPoint, Access, Word) or similar spreadsheet and database tools.
- Strong organizational skills and attention to detail.
- Effective written and verbal communication; ability to build rapport with all people.
- Ability to operate standard office equipment.
- Ability to sit, walk, stand, bend, and lift frequently throughout the workday.
- Occasional lifting of items up to 20 lbs.
- Functional speech, vision, and hearing.
- Operates all necessary equipment for the job.
- Normal office environment.
