Position SummaryThe Front Desk Coordinator will be the face and voice of the company and will be required to represent the company in a courteous, friendly, and professional manner. This position will be responsible for maintaining all reception desk operations including answering phones, greeting visitors, distributing mail and providing additional administrative support for the company’s various business entities including a private equity platform and a national leader in healthcare consulting and real estate development.
Principal Duties and ResponsibilitiesThis list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.
- Answers all incoming calls, takes messages, answers general questions, and directs calls to the appropriate person
- Greets visiting clients, vendors, and guests upon arrival
- Assists Company personnel in setting up conference rooms and maintains conference room schedule. Monitors and maintains the reception area and all conference rooms to ensure that the areas are kept in a clean and professional manner
- Provides beverage and menu services at all business meetings
- Receives, sorts, and distributes the daily mail according to personnel and/or department
- Coordinates the outbound mail services, including overnight and ground packages, USPS, and mass mailings. Maintains mail supplies, including overnight mail services, billing, and postage meter deposits
- Informs office personnel of incoming faxes and deliveries immediately upon receipt
- Maintains working knowledge of company service lines, organizational units, regions, and locations to effectively support company personnel, guests and clients
- Provides backup support to administrative personnel, as needed and required, during periods of peak workloads. Support includes, but is not limited to, researching and booking travel arrangements, ordering office and marketing supplies, large typing projects, project correspondence, binding reports, timesheets, tracking travel expenditures, filing projects, etc.
- Assists with special projects as needed
The requirements listed below are representative of the knowledge, skills, and abilities required to perform this job successfully.
- High School diploma required, undergraduate degree preferable
- Minimum of at least 4 years customer service or administrative work experience
- Knowledge of the company’s regional offices, their independent operations, and the personnel within each office
- Excellent phone etiquette and verbal communication and interpersonal skills
- Strong customer service orientation and listening skills
- Must be able to multitask, change priorities, and work under pressure while maintaining professionalism at all times
- Able to work with minimum supervision
- A team player, willing to help team when necessary
- Proficient knowledge of Microsoft Office suite (i.e., Word, Excel, Outlook)
Due to the highly visible nature of this position, the employee must have great customer service, attentiveness to the caller/visitor, a friendly positive approach, and an understanding of how/where to forward the caller. This includes a deep understanding of our locations, the various business entities, and the locations of personnel. Many first time inquiries related to future business opportunities are networked through the corporate office location.
This position is also expected to work during the company’s regular business hours, Monday through Friday from 8:00 am to 5:00 pm.
