MHA-WI is seeking a reliable, detail-oriented Part-Time Administrative Assistant to support daily office operations and provide administrative assistance across multiple programs, including Information & Assistance, Suicide Prevention, and the MHA-WI Wellness Clinic. This role is primarily clerical and support-focused, working under the supervision of program and clinic leadership.

The Administrative Assistant regularly handles confidential information and plays an important role in ensuring smooth operations, responsive communication, and compliance with HIPAA and funding requirements.

Key Responsibilities
  • Provide general administrative and clerical support (filing, scanning, copying, data entry)
  • Answer and route phone calls; respond to routine internal and external inquiries
  • Support staff onboarding paperwork and maintain employee files
  • Process invoices, checks, mail, and routine financial documentation
MHA-Wellness Clinic Support
  • Schedule outpatient clinic appointments
  • Assist with referrals and insurance verification under established procedures
  • Support billing coordination and collect patient payments
  • Assist clients with Electronic Health Record (EHR) forms
  • Maintain clinic records in compliance with state and county requirements
Program & Community Support
  • Provide administrative support across programs, as needed
  • Assist with scheduling, documentation, and file maintenance for SAMHSA-funded suicide prevention activities
  • Support administrative and logistical needs for the annual Prevent Suicide WI Conference
  • Prepare materials and assist with registration or day-of-event support as needed
Qualifications
  • High school diploma or equivalent required; associate degree preferred
  • 1–2 years of administrative or office support experience
  • Strong organizational skills and attention to detail
  • Ability to handle confidential information and follow established procedures
  • Basic proficiency with Microsoft Office and office technology
  • Clear, professional communication skills
  • Experience in nonprofit, healthcare, or behavioral health settings preferred
