Position Overview

The Corporate Event Planner & Designer is responsible for planning, designing, and managing large-scale corporate events
—including galas, company anniversaries, holiday parties, employee celebrations, product launches, and branded activations. This role combines strategic event planning, creative design direction, and proactive sales to deliver exceptional experiences for corporate clients while driving revenue through upsells of Ambrosia’s services and products.

The ideal candidate is a strategic thinker, polished communicator, and sales-minded planner who can manage complex logistics, work with high-level stakeholders, and bring ambitious event visions to life.

Key Responsibilities Corporate Event Planning & Coordination
  • Act as the main point of contact for assigned corporate clients from initial inquiry to post-event follow-up.
  • Plan and manage all event logistics, including venue coordination, vendor communication, timelines, floor plans, production schedules, and permitting if required.
  • Conduct site visits and walkthroughs to finalize design and logistical details.
  • Oversee event day execution, ensuring flawless coordination of staff, vendors, and logistics.
  • Manage multiple events simultaneously while maintaining high attention to detail.
Event Design & Creative Direction
  • Lead the creative development of event concepts, ensuring alignment with client branding, theme, and goals.
  • Create mood boards, layouts, palettes, and décor plans using design software or platforms (e.g., Merri, Canva).
  • Recommend rentals, floral designs, lighting, draping, linens, and décor elements to enhance the event aesthetic.
  • Collaborate with the warehouse, floral, and production teams to bring the creative vision to life.
  • Stay current on design trends and innovative event concepts to offer fresh ideas to clients.
Sales & Revenue
  • Conduct discovery calls and consultations to understand client objectives, scope, and budget.
  • Prepare and present comprehensive proposals for corporate services and products, including planning, coordination, design, rentals, floral, and décor.
  • Proactively upsell additional services and products to maximize event value (e.g., upgraded furniture, custom installations, enhanced lighting, branded décor).
  • Negotiate and close sales with professionalism and clarity.
  • Track sales performance and meet revenue targets aligned with company goals.
Client Experience & Relationship Management
  • Deliver a high-touch, professional client experience
    , understanding the unique expectations of corporate clientele.
  • Communicate clearly and consistently throughout the planning process.
  • Manage expectations regarding timelines, deliverables, budgets, and design scope.
  • Build long-term relationships with corporate clients to generate repeat business and referrals.
  • Represent Ambrosia Events professionally in all meetings, presentations, and site visits.
Team Collaboration & Leadership
  • Work closely with internal teams (warehouse, floral, production, sales) to ensure seamless execution of all event details.
  • Provide clear and accurate information to operations teams through pull sheets, timelines, and diagrams.
  • Act as the on-site lead during installations, providing direction and ensuring quality standards are met.
  • Offer insights and feedback to leadership on improving corporate services, products, and workflows.
Qualifications
  • 3+ years of experience in corporate event planning, production, or design (experience with galas, large corporate events, or luxury hospitality is strongly ).
  • Proven track record of sales and upselling in the events industry
    .
  • Excellent organizational skills with the ability to manage multiple large-scale events simultaneously.
  • Strong communication and presentation skills, comfortable interacting with executives and corporate stakeholders.
  • Strategic thinker with a creative eye for design and branding.
  • Proficiency with planning/design tools (Merri, Canva, Timeline Genius, Goodshuffle Pro) is a plus.
