Hybrid | Greater Milwaukee Area (2 days onsite per week)

LHH is partnering with a respected nonprofit organization focused on advancing science, research, education, and professional development within a rapidly evolving healthcare and life sciences field.

We're seeking a highly organized and detail-oriented Project Specialist to support a variety of programs, projects, events, and operational initiatives. This is an excellent opportunity for an early-career professional who enjoys coordinating complex projects, collaborating across teams, managing timelines, and contributing to meaningful work that supports scientific advancement and professional education.

What We're Looking For
  • Bachelor's degree required
  • 1-2 years of experience in project coordination, program administration, operations, nonprofit organizations, associations, higher education, or a related field
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple priorities and deadlines simultaneously
  • Excellent communication and stakeholder management skills
  • Experience with Microsoft 365 (Excel, Word, Outlook, Teams, SharePoint)
  • Experience with project management tools such as Asana, , Smartsheet, Trello, or similar is a plus
  • Experience working with databases, CRM systems, or membership management platforms is preferred
  • Analytical mindset with the ability to gather, interpret, and report on data
  • Some evening/weekend support may be required during peak program periods, along with limited annual travel
What You'll Do
  • Coordinate and support multiple programs and initiatives from planning through execution
  • Manage project timelines, communications, documentation, and reporting
  • Serve as a key point of contact for program participants, reviewers, volunteers, and stakeholders
  • Track submissions, applications, deadlines, and project deliverables
  • Assist with meeting planning, scheduling, logistics, and follow-up activities
  • Maintain records, databases, standard operating procedures, and program documentation
  • Analyze and compile data to support reporting and decision-making
  • Identify opportunities to improve processes and workflows
  • Support special projects, strategic initiatives, and annual events throughout the year
