Job SummaryThe Service Advisor acts as the liaison between customers and the service shop, ensuring service and repair needs are efficiently communicated, scheduled, and completed. They quote, open, and manage work orders, provide updates to customers, and support shop operations with a focus on exceptional customer service.
Responsibilities- Respond to customer inquiries (calls, emails, walk‑ins) regarding current and future service repairs.
- Interview customers to identify service needs and schedule work accordingly.
- Prepare and coordinate repair quotes with shop supervisors or regional quoters.
- Collaborate with shop management to prioritize and open work orders.
- Transfer work orders to shop supervisors for execution and update them as needed.
- Complete Cat Inspect reports, quote additional repairs, and obtain customer approval.
- Monitor repair progress, provide proactive updates, and address customer questions.
- Hold daily meetings with supervisors to review work order status and communicate updates to customers.
- Manage a visual scheduling board to track and close service work; supervisors close individual segments.
- Follow up with customers during and after repairs to ensure satisfaction.
- Coordinate with service management on customer goodwill and process COD orders.
- Perform other duties as assigned.
- High School diploma or GED required.
- Associate’s degree or certification in Diesel Technology.
- 2–5 years of construction or agriculture heavy equipment service support.
- Direct experience creating work orders, dispatching technicians, scheduling technicians, and handling daily customer calls.
- Experience quoting repairs on heavy equipment.
- Strong time management, analytical and problem‑solving skills, a team player, and customer‑focused mindset.
- Strong computer skills with proficiency in Microsoft Office Outlook.
- Strong written and oral communication skills with conflict resolution, and detail‑oriented, organized, with a professional demeanor.
- 3–5 years of recent experience with service writing or service advisor positions in construction heavy equipment.
- Associate’s degree or certification in Diesel Technology preferred.
- Experience with DBS/AS400 and Cloudlink.
- Experience quoting repairs on heavy equipment.
- Strong time management, analytical and problem‑solving skills, a team player, and customer‑focused mindset.
- Strong computer skills with proficiency in Microsoft Office Outlook.
- Strong written and oral communication skills with conflict resolution, and detail‑oriented, organized, and professional demeanor.
The employee regularly talks or hears, sits for long periods, stands, walks, bends, stoops, and occasionally lifts or moves up to 50 pounds.
