About the Position

This role includes developing grant budgets for a small non-profit organization from proposal submission, through award, and close‑out, ensuring alignment with program design, funding requirements, and accounting systems.

  • The Grants & Finance Manager reports directly to Asha’s Executive Director and is responsible for day‑to‑day nonprofit accounting, bookkeeping, and grants financial management. This role ensures timely, accurate, and compliant financial reporting across multiple state, federal, and private funding sources.
  • This position works hands‑on in grant reporting systems and collaborates regularly with Asha’s CPA firm, vendors, and funders. The ideal candidate understands how strong financial systems directly support survivor services and organizational sustainability.
Key Responsibilities Grants Financial Management & Reporting
  • Develop and prepare grant budgets in collaboration with the Executive Director and program staff, including budget justifications, cost allocations, and supporting documentation.
  • Create and maintain grant budget templates that align with funder guidelines, and support budget revisions and amendments throughout the grant lifecycle.
  • Prepare and submit monthly financial billings/invoicing to funders as well as financial reports to grant funders using required reporting systems (including Wisconsin DCF, DOJ, and other state or federal portals).
  • Upload accounting reports, expenditure documentation, invoices, and budget summaries into grant reporting systems.
  • Track grant expenditures to ensure compliance with approved budgets and funding requirements.
  • Support financial components of grant applications, renewals, and budget modifications.
  • Monitor and manage and update Agency Budget regularly.
  • Reconcile accounts and ensure financial records are complete, accurate, and audit‑ready.
  • Maintain organized financial documentation to support transparency and compliance.
Audit & Compliance Support
  • Work regularly with Asha’s CPA firm on monthly reviews, annual audits, and compliance requirements.
  • Assist with audit preparation, including document gathering, reconciliations, and coordination with auditors.
  • Ensure adherence to nonprofit accounting standards and funder‑specific requirements.
Organizational Support
  • Support internal financial controls and confidentiality requirements.
  • Participate in occasional in‑person meetings related to audits, systems, or organizational needs.
Minimum Qualifications
  • Demonstrated non‑profit bookkeeping and accounting experience.
  • At least two years of experience in nonprofit budget and justification development and grants management.
  • Ability to communicate effectively with diverse audiences.
  • Strong organizational skills with attention to detail and deadlines.
  • Ability to work independently with minimal supervision.
  • High degree of professionalism, ethics, and confidentiality.
  • Proficiency with Quick Books and Microsoft Office 365 (especially Excel).
Highly Preferred
  • Nonprofit accounting experience, particularly with state and/or federal grants.
  • Experience submitting financial reports through government grant systems (e.g., DCF, DOJ, or similar).
  • Experience supporting audits and working directly with CPA firms.
