Overview

The Wealth Client Specialist provides comprehensive support to the Wealth Advisor along with Traditional and High Net Worth clients by ensuring a smooth and professional client experience through day-to-day service activities, administrative and operational tasks. Effectively, the Wealth Client Specialist position is an “in-house relationship manager” quarterbacking client responses in the absence of and at the direction of the Wealth Advisor.

This role is designed for individuals beginning their career in the financial services industry and offers structured training and a clear path for growth within the Wealth Management team.

Key Responsibilities Client Relationship Management
  • Assist as a point of contact for client service needs, account inquiries and administrative requests, escalating as needed.
  • Support the scheduling of client meetings and preparation of meeting materials.
  • Assist with onboarding new clients, including preparing and collecting Know Your Customer documentation, completing account applications, and setting up custody and investment accounts.
  • Help organize documents, maintain client files, and manage day-to-day administrative tasks (e.g., calendar management, answering phones, filing, mail handling).
  • Ensure prompt follow-up on client requests, maintaining high standards of responsiveness and professionalism.
Operational & Administrative Support
  • Effectively use the core Wealth and Bank operating platforms.
  • Process account transactions such as contributions, withdrawals, fund transfers, and asset movements with accuracy and timeliness.
  • Monitor account activity, flagging discrepancies or unusual transactions for review.
  • Maintain accurate and up-to-date client records.
  • Liaise with compliance, and back-office teams to resolve issues and ensure smooth account administration.
Compliance & Documentation
  • Ensure all client documentation is complete, accurate, and compliant with regulatory requuirements.
  • Comprehend and adhere to procedures related to internal policies.
  • Assist with internal audits, compliance checks, and documentation reviews as needed.
  • Follow compliance and regulatory procedures related to anti-money laundering (AML), data privacy, and investment regulations.
Reporting & Communication
  • Process regular client reports, performance summaries, ad-hoc reports, investment statements and proposals.
  • Support communication of investment updates, tax reporting, and operational notices to clients.
  • Coordinate account reviews and client follow-up tasks.
Team Collaboration
  • Participate in regular team huddles and strategy sessions with client advisors and wealth account manager team.
  • Attend team meetings and training sessions to build knowledge and stay informed.
  • Collaboration with the Advisor Support Team (AST), Operations and Trading for support and resolution to client inquiries.
  • Contribute to continuous improvement by sharing observations and suggestions.
  • Build strong partnerships with Wealth Advisors and Portfolio Managers

Qualifications
  • Bachelor’s degree in Finance, Business, or related field preferred.
  • 0-2 years of experience in financial services or wealth management; internships or related customer service or administrative services experience considered.
  • Strong organizational and time management skills with the ability to prioritize and manage multiple tasks.
  • Effective oral and written communication skills.
  • Proficient with MS Office Suite of products; willingness to learn industry specific systems.
  • Investment custody and/or Trust accounting system knowledge highly desired.
