This is a temporary position (approx. 3-6 months) supporting critical HR operational and compliance functions during a high-volume period.
Herzing University is seeking a detail-oriented and service-oriented HR Operations & Employee Services Coordinator to temporarily support critical HR operations and employee lifecycle activities. This role is primarily responsible for administering the University's Form I-9 and employment eligibility verification program, supporting employee onboarding, managing employment verification requests, and serving as a key resource for employee and manager inquiries.
This position requires an individual with prior experience managing high-volume I-9 processing and onboarding activities while maintaining exceptional accuracy, compliance, and customer service. The successful candidate will be highly organized, adaptable, and comfortable working in a fast-paced environment with competing priorities and deadlines.
This role may also provide broader operational and administrative support to the HR department based on business needs and workload capacity.
REQUIRED QUALIFICATIONS:- Minimum of two years of Human Resources, Employee Services, HR Operations, or related experience.
- Demonstrated experience administering Form I-9 employment eligibility verification, including high-volume processing and compliance management.
- Experience supporting high-volume hiring, onboarding, or employee lifecycle transactions with a strong focus on accuracy and compliance.
- Strong understanding of employee records management and confidentiality requirements.
- Exceptional organizational skills with the ability to manage multiple priorities, deadlines, and competing demands.
- Strong attention to detail and commitment to accuracy.
- Excellent customer service, communication, and problem-solving skills.
- Proficiency with Microsoft Office applications and HR systems.
- Ability to work independently while collaborating effectively with a remote team.
- Experience serving as an I-9 Administrator or supporting an organization-wide I-9 program.
- Experience training others on I-9 compliance and employment verification procedures.
- Experience supporting a multi-location or multi-state workforce.
- Experience with HRIS systems such as UKG.
- Experience in higher education or a similarly complex organization.
HR Compliance & I-9 Program Administration
- Serve as the primary administrator of the Form I-9 and employment eligibility verification program, ensuring compliance with federal requirements.
- Coordinate and complete high-volume employment eligibility verifications for new hires across multiple locations and employee populations.
- Provide training, guidance, and support to designated I-9 Administrators to ensure consistency and compliance across the organization.
- Monitor processes, identify opportunities for improvement, and maintain documentation related to employment eligibility verification.
- Assist with I-9 audits, compliance reviews, and corrective action efforts when necessary.
- Manage and respond to employment verification requests, including Public Service Loan Forgiveness (PSLF) certifications and other employment-related documentation.
- Ensure timely, accurate, and confidential handling of employee records and sensitive information.
- Maintain HR documentation and support audit readiness initiatives.
- Assist with record maintenance and documentation requirements throughout the employee lifecycle.
