Job Summary

The Legal Operations Lead is responsible for primarily five areas: (i) legal technology and systems, (ii) process improvement, (iii) knowledge and matter management systems, (iv) vendor and financial management, and (v) metrics and reporting for the Legal Department. The successful candidate will have excellent time management, project management, and communication skills to manage competing priorities and drive complex projects involving stakeholders at all levels.

The ideal candidate will have: (i) extensive experience with legal billing and legal case management software, (ii) experience leading RFPs, negotiating fee arrangements, and monitoring vendor performance, and (iii) expertise in defining and tracking KPIs for legal operations.

Job Responsibilities

Legal Technology & Systems

  • Evaluate, implement, and manage legal tech tools (e.g., e-billing, matter management, contract lifecycle management).
  • Lead system integrations and ensure user adoption across the legal team.
  • Maintain data integrity and reporting capabilities.

Process Improvement & Project Management

  • Identify and implement process improvements to streamline legal operations.
  • Lead cross-functional projects and change management initiatives.
  • Develop and enforce best practices and standard operating procedures.

Knowledge and Matter Management

  • Oversee knowledge management systems to ensure effective information sharing.
  • Develop strategies for capturing institutional knowledge and legal precedents.
  • Support matter intake and tracking processes.

Vendor and Financial Management

  • Manage relationships with outside counsel and legal service providers.
  • Lead RFPs, negotiate fee arrangements, and monitor vendor performance.
  • Collaborate with Finance to manage legal budgets and track spend.

Metrics and Reporting

  • Define and track key performance indicators (KPIs) for legal operations.
  • Provide regular reports and insights to legal leadership.
  • Use data to drive continuous improvement and strategic decision-making.
Education & Experience
  • Education Requirements: High School Diploma or Equivalent Required
  • Education Specifications: Bachelor’s Degree Preferred
  • Experience Requirements: Typically requires a minimum of 5 years of related experience
  • Legal operations-related experience
  • Works independently with guidance in only the most complex situations
  • Proven ability to prioritize, organize and implement multiple complex projects
  • Critically evaluate information from multiple sources, ask questions, and reconcile differences to deliver effective guidance
  • Ability to work on multiple tasks simultaneously and lead several projects in a dynamic and fast-paced environment
  • Ability to lead and work well in a team environment
  • High integrity, excellent judgment and critical thinking skills, and ability to identify all relevant issues
  • Excellent decision-making and communication skills (including strong listening)
  • Self-motivated with a commitment to excellence, accuracy, and quality
