Girls on the Run of Southwestern Wisconsin (GOTR-SEWI) is a nonprofit, youth development program that inspires girls in 3rd–8th grade to be joyful, healthy, and confident using a fun, experience-based curriculum that creatively integrates running. Serving over 3,000 girls annually, the program runs for 8-weeks in the spring and fall with each season ending with a celebratory 5K giving each participant a tangible sense of accomplishment.

The Development & Events Coordinator is a highly organized, detail-oriented professional responsible for the administrative coordination and execution of Girls on the Run of Southwestern Wisconsin’s fundraising and donor engagement efforts. This role serves as the operational backbone of the Development Team by managing fundraising systems, donor records, event logistics, project timelines, stewardship activities, and committee coordination. Success in this role requires exceptional organizational skills, accuracy, initiative, strong follow-through, and the ability to manage multiple projects and deadlines simultaneously while maintaining a high level of professionalism and customer service.
Key Responsibilities Development Operations & Donor Database- Support the implementation of the annual fundraising plan in collaboration with the Executive Director and Development & Communications Director.
- Serve as primary administrator for the donor database (Pinwheel), ensuring data integrity and accuracy.
- Process all charitable gifts accurately and in a timely manner while regularly auditing donor records to maintain data quality.
- Generate donor lists, reports, mailing lists, acknowledgements, tax receipts, and campaign reports.
- Manage donor stewardship through recognition, communications and annual appeals.
- Lead planning and execution of bi-annual giving campaigns including data tracking, solicitation lists, and working with marketing to create campaign assets.
- Support grant reporting by tracking deadlines, deliverables, and grant activity in project management system (ASANA) while providing accurate organizational and program information.
- Manage the Sole Mates fundraising program including tracking, communication, partner relations and event logistics.
- Support monthly development reporting and fundraising dashboards.
- Assist with researching prospective donors, corporate partners, sponsors, and grant opportunities.
- Represent GOTR-SEWI at community events to build awareness and foster partnerships.
- Manage all operational aspects of assigned fundraising events from planning through post-event evaluation for:
- Sneaker Soiree (annual fundraising gala)
- Golf Fore Girls Outing
- Finish Line Council Event
- Other Community Events
- Manage all pre-event logistics including event checklists, timelines, vendor contracts, communications, registration, and volunteer needs.
- Set-up and manage event system (Give Smart) for registration, auctions and other logistic details.
- Assist with securing auction items, fundraising activities, and in-kind donations to support event success.
- Collaborate with marketing staff to ensure promotional materials and event collateral align with brand and goals.
- Ensure sponsorship fulfillment during the event and pre/post event acknowledgements.
- Lead and manage day-of-event including set-up, volunteers, decor, food, etc. to ensure GOTR mission and attendee experience is top priority.
- Track event metrics and fundraising reports.
- Oversee the engagement and coordination of event-related committees (e.g., Sneaker Soirée, Golf Outing), including scheduling meetings, preparing agendas, tracking goals and action items, communicating clear expectations that align with each event’s goals and timelines.
