WRTP | BIG STEP is a nonprofit workforce development organization dedicated to connecting individuals with family-sustaining careers in the skilled trades, construction, manufacturing, and other high-demand industries. Through training, apprenticeship readiness, and partnerships with employers and community organizations, WRTP | BIG STEP strengthens the workforce while supporting economic opportunity and equity in the communities it serves.

WRTP | BIG STEP is seeking a qualified and community-focused Orientation & Intake Coordinator to support orientation activities, as well as participant intake, assessment, and program entry, helping individuals access apprenticeship and career pathways. This position requires schedule flexibility, including occasional late afternoon/evening hours and select Saturdays, consistent with program and operational needs.

The Orientation & Intake Coordinator is responsible for facilitating weekly orientations, provides intake assistance, proctors ACCUPLACER testing, and supports case management and follow-up activities, while serving as a liaison between staff, community partners, and participants.

Essential Duties and Responsibilities Orientation & Participant Services
  • Facilitate weekly orientations in accordance with program guidelines
  • Provide participant intake assistance, including application support and eligibility review
  • Proctor ACCUPLACER testing as part of the intake and assessment process
  • Communicate program expectations, requirements, and career pathways
  • Support participant progression from orientation through enrollment
Case Management & Follow-Up
  • Support case management activities and maintain participant communication
  • Track participant progress and complete required follow-up
  • Respond to participant inquiries in a timely and accurate manner
  • Coordinate referrals and supportive services, as appropriate
Data Entry, Reporting & Compliance
  • Perform data entry, tracking, and reporting in accordance with program and funder requirements
  • Maintain accurate and complete participant records (ETO preferred)
  • Conduct routine data quality checks
  • Assist with report preparation for internal and external stakeholders
  • Support presentation of program data as needed
Partnership & Program Support
  • Serve as a liaison between WRTP | BIG STEP and community partners
  • Coordinate and connect participants to supportive services, as applicable
  • Support implementation of outreach and retention strategies
  • Assist with documentation, referrals, and follow-up systems
Other Duties
  • Respond to general inquiries and triage calls as needed
  • Support day-to-day office and program operations
  • Perform other duties as assigned, consistent with the scope of the position
Qualifications
  • Bachelor’s degree preferred; equivalent combinations of education and outreach experience will also be considered
  • Minimum 2+ years of case management experience preferred
  • Experience with database systems required (ETO preferred)
  • Knowledge of workforce development and/or apprenticeship pathways preferred
  • Strong presentation and communication skills
  • Experience working with diverse populations
  • Valid driver’s license and access to an insured vehicle
  • Proficiency in Microsoft Office
  • Bilingual skills a plus

Schedule
  • Monday – Friday, 8:00 AM – 5:00 PM
  • Flexibility required based on program needs, including evenings and occasional Saturdays
Benefits
  • This is a represented position and is subject to the terms and conditions of the applicable collective bargaining agreement
  • Hourly pay: $25.00 – $26.00, consistent with the negotiated wage structure and based on experience
