Responsibilities
  • Coordinate and schedule HVAC service calls, installations, and maintenance appointments efficiently using software management system.
  • Maintains communication with technicians throughout the day for progress and status.
  • Updates customer with technician notes, future scheduling needs, and potential delays.
  • Maintain accurate data entry within software management system, updating the dispatch board continuously.
  • Debriefs with Technicians after completion of each call. Reviews service ticket work orders.
  • Issues purchase orders, updates work order notes.
  • Use multi-line phone systems to handle incoming requests with professionalism and excellent phone etiquette.
  • Communicate effectively with technicians, customers, account managers, suppliers, and internal teams in person and via phone, email, and other communication channels.
  • Addresses customer concerns regarding delays/scheduling/parts arrival.
  • Updates on call schedule as needed.
  • Audits technician remote payroll weekly.
  • Assists technicians with technical issues related to software management system on their device.
  • Assists technicians/account managers with unit history, customer history and/or research past orders, service tickets for technicians
Requirements
  • Excellent analysis skills with the ability to interpret data for decision-making purposes.
  • Excellent muti-tasking/organizational skills with the ability to prioritize a multitude of tasks.
  • Proficiency in data entry, typing skills, and multi-line phone systems.
  • Proficient in Word, Excel, and Outlook.
  • Exceptional communication skills combined with professional phone etiquette.
  • Ability to remain positive and upbeat while working under pressure in a fast-paced environment and maintaining attention to detail.
  • Prior dispatching experience in HVAC or related fields is preferred but not required. This position offers an opportunity to be an central part of our team by ensuring seamless coordination of HVAC services through effective dispatching strategies and advanced technological tools.
