Position SummaryThe Executive Assistant to the CEO is a high-impact, strategic partner to the Chief Executive Officer (CEO). This role provides strategic and confidential support to the CEO, acts as a liaison to the Board of Directors, and senior management teams. The Executive Assistant to the CEO represents executive leadership with authority and professionalism across all levels of the organization and with external stakeholders.
EssentialResponsibilities
- Manages a complex and dynamic calendar, including scheduling meetings, coordinating availability, and proactively resolving conflicts
- Performs diverse, advanced administrative duties including: coordinating strategic business projects and helping to guide them to completion; composing and preparing correspondence; arranging complex and detailed travel arrangements; meeting/event planning and preparations; interaction with all levels of the organization and a wide range of external parties; and handling/coordinating confidential and sensitive information.
- Serves as liaison to the Board of Directors, corporate officers, industry executives, community and government leaders, employees, customers, special groups and the public. Partners with and/or oversees coordination of Board of Directors logistics and requests.
- Keeps CEO and executive staff informed of upcoming events, commitments and responsibilities with appropriate and timely follow up. Facilitates CEO communication to leaders and employees. Evaluates internal/external customer concerns and follows through to conclusion. Prepares and organizes needed materials for internal and public events.
- Provides informal leadership and collaborative guidance to the Executive Assistants supporting Executive Committee members, establishing and evolving administrative standards, processes, and practices that strengthen efficiency, alignment, and overall team performance.
- Coordinates special projects and requests on behalf of the CEO.
- Bachelor's degree or an equivalent combination of education and experience
- 8+ years of experience supporting a CEO or Senior Executive at a large or global company
- Ability to think strategically while executing flawlessly day-to-day in a fast-paced environment; able connect the big picture to immediate action.
- Customer focused with a proven ability to manage multiple/competing priorities and projects to meet critical deadlines.
- Clear, polished written and verbal communication skills, with the confidence to interact with senior leaders and external stakeholders.
- Strong technical and administrative capability across dynamic calendas, email and travel logistics
- Ability to manage highly sensitive information with strict discretion and professionalism
- Familiarity with utility industry, regulatory agencies and community officials is preferred.
- Availability to be physically present in the office five days per week. Provide flexible support during early mornings, evenings, and occasional weekends as required. Must be able to support the CEO during travel, key meetings, and critical business moments.
